Office Service Assistant – Part Time – Amazon Store
Overview
At CJ’s Exhaust and Duct Cleaning, our office services team plays a vital role in ensuring every appointment, technician, and client experience runs smoothly. This role provides business and administrative support to assist daily operations, offering a blend of customer service, logistics coordination, and clerical support.
The Office Service Assistant is responsible for keeping scheduled services on track for our clients, answering incoming inquiries, and coordinating with our technician team to assign service appointments. This person also helps build relationships with new establishments that could benefit from our services.
You’ll be supported by our chief office administrator and work closely with other office team members to carry out the duties below. We’re looking for someone who is charismatic, technical, organized, and relational—someone who can pay attention to detail but also see the big picture.
Key Responsibilities
- Answer and follow up on calls or emails from new and existing clients
- Schedule technician appointments across Massachusetts, Boston, and Rhode Island
- Rearrange cancelled appointments and communicate updates
- Input client info and job details into our online system accurately
- Make calls to clients for appointment confirmations, payments, and follow-ups
- Initiate communication with potential new clients and support client retention
- Assist with forms required by local fire prevention departments
- Sort and forward incoming mail and documents to appropriate staff
- Maintain up-to-date system records per CJ’s billing and client service procedures
- Support the coordination of team meetings and bi-annual staff outings
- Build and maintain professional relationships with technicians, clients, and managers
- Stay adaptable and ready to improve office systems and workflows
- Attend all required department and team meetings
- Keep communication flowing daily with clients and team members
Preferred Skills & Qualifications
- 2–4 years of proven experience in office administration or customer service
- High School diploma, GED, or equivalent experience preferred
- Excellent phone etiquette and written communication
- Proficient in Google Workspace (Docs, Sheets, Gmail, Calendar, etc.)
- Comfortable working independently and managing multiple tasks
- Strong organizational skills and attention to detail
- Adaptable to change with a solutions-focused mindset
- Fluent in English; Spanish-speaking preferred
