Job Summary

We are seeking an experienced and highly organized Administrative Assistant to provide critical support to the Master of Social Work (MSW) Program at Sacred Heart University. This is a full-time, non-exempt position that offers a competitive salary and the opportunity to work remotely. The successful candidate will be responsible for managing academic and student affairs systems and processes, providing administrative support to the MSW Program, and ensuring seamless day-to-day operations.

Key Responsibilities

  • Manage registration periods, including facilitating electronic add/drop forms, assisting students with registration, and updating course schedules and assessment fees.
  • Process, file, and maintain student forms and paperwork, such as Leave of Absence, Reinstatements, Registration, Admission rubrics, LMSW Licensure forms, Probation, independent studies, and Dismissal letters.
  • Develop, maintain, and stay up-to-date with electronic student records across SHU systems.
  • Record and maintain the MSW program student list, adding new admits, removing graduated, dismissed, or withdrawn students.
  • Support the educational review process each semester, notifying students of probationary terms and follow-up requirements.
  • Create and maintain the MSW operational year calendar, internal paper calendar, semester course schedule calendar, and student class schedule calendars.
  • Provide administrative support for admissions application process, application for graduation process, and MSW program Adjunct teaching.
  • Facilitate program communications, distribute fliers, announcements, and job announcements from agency partners.
  • Assist with advising support, manage advisor assignments, and communicate with advisors and students.
  • Support the collection and documentation of course syllabi from faculty and update the MSW Catalog.
  • Prepare and compile student data for annual reports and as requested.

Additional Responsibilities

  • Attend SW Department meetings and prepare minutes in rotation with other SSW assistants.
  • Manage maintenance/classroom requests as needed.
  • Maintain and archive inactive student files.
  • Maintain and manage the MSW booklist and publisher accounts.
  • Create fliers, invitations, announcements, and minutes as needed.
  • Assist with Faculty Examination and Desk-copy orders.
  • Work with IT & Data departments to improve processes.
  • Other duties as assigned.

Requirements

Essential Qualifications:

  • A minimum of 3 years of comparable experience in an academic setting or related field.
  • Possess good organizational and problem-solving skills.
  • Possess excellent communication skills (oral and written).
  • Ability to work with minimal supervision and prioritize tasks effectively.
  • Good knowledge of working in an academic setting with multiple faculty and university staff.
  • High degree of integrity, professionalism, diplomacy, and discretion.

Preferred Qualifications:

  • Experience working in a higher education setting, preferably with a social work program.
  • Familiarity with student information systems and learning management systems.
  • Experience with data analysis and reporting.

Skills and Competencies

  • Excellent administrative and organizational skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficient in Microsoft Office Suite and Google Workspace.
  • Familiarity with student information systems and learning management systems.
