Job Overview: Academic Program Specialist

We are seeking an experienced and skilled Academic Program Specialist to join our Clinical Education team within the Texas College of Osteopathic Medicine. As a key member of our team, you will provide administrative coordination and specialized program support, ensuring the day-to-day success of our clinical education experiences for osteopathic medicine students. This role is critical to the overall success of our program, and we are looking for a highly organized, communicative, and customer-focused individual to fill this position.

Key Responsibilities:

  • Maintain accurate records and process affiliation agreements for student rotations as needed
  • Process, renew, and maintain adjunct faculty appointments for clinical rotations
  • Assist the course director with syllabus design, development, and maintenance
  • Coordinate meetings, rotations, orientations, and other administrative duties
  • Communicate effectively with students, faculty, and staff regarding course management, enrollment, and program requirements
  • Prepare and maintain online platforms, course documents, and student records
  • Coordinate core and elective rotations, including scheduling, grade submission, and evaluation
  • Provide technical support for students and faculty as needed
  • Maintain site and preceptor data in eMedley student software system
  • Run reports, compile data, and submit grades via appropriate software systems

Essential Qualifications:

To be successful in this role, you will need:

  • A Bachelor's degree and two years of related experience; or an equivalent combination of education and experience
  • Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint
  • Excellent time management, organizational, and communication skills
  • Ability to work independently and as part of a team
  • Strong attention to detail, accuracy, and customer service skills
  • Knowledge of medical education systems and their impact on healthcare delivery

Preferred Qualifications:

While not required, the following qualifications are preferred:

  • Prior experience with online learning platforms, such as Canvas
  • Higher education experience, particularly in a clinical or medical education setting
  • Experience with data entry, record-keeping, and report generation
  • Familiarity with eMedley student software system or similar systems
