About the Role and Team

As an Executive Assistant at Walt Disney Imagineering, you will be an integral part of our Research and Development team, working closely with two senior executives to provide exceptional administrative support. You will be responsible for managing their busy calendars, coordinating travel arrangements, and ensuring seamless communication with internal and external stakeholders. Your role will require you to be proactive, organized, and adaptable, with a strong ability to prioritize tasks and manage multiple projects simultaneously. You will be a key member of a multidisciplinary team, collaborating with colleagues from various functions to drive success and achieve our goals.

Key Responsibilities

  • Manage and prioritize the calendars of two senior executives, ensuring timely scheduling of meetings, appointments, and travel arrangements
  • Coordinate travel plans, including booking flights, hotels, and rental cars, as well as preparing detailed itineraries and expense reports
  • Provide exceptional communication and administrative support, including responding to emails, phone calls, and messages, and ensuring timely follow-up on tasks and projects
  • Develop and maintain strong relationships with internal and external stakeholders, including colleagues, vendors, and partners
  • Collaborate with other executive assistants and team members to ensure seamless communication and coordination of activities
  • Anticipate and resolve calendar conflicts, scheduling issues, and other administrative challenges, using your judgment and initiative to find solutions
  • Exercise discretion and confidentiality when handling sensitive information, maintaining the highest level of professionalism and integrity

Essential Qualifications

To be successful in this role, you will need to have:

  • At least 3 years of experience supporting a senior executive in an administrative capacity, preferably in a fast-paced and dynamic environment
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Proficiency in Microsoft Office, including Excel, PowerPoint, and Outlook, as well as other collaboration tools and software
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with internal and external stakeholders
  • Demonstrated ability to handle confidential and sensitive information with discretion and professionalism
  • Highly adaptable and flexible, with the ability to work in a rapidly changing environment and prioritize tasks accordingly
  • Strong attention to detail and ability to maintain accuracy and quality in your work

Preferred Qualifications

While not essential, the following qualifications are preferred:

  • 5+ years of administrative experience supporting an executive in a dynamic and fast-paced environment
  • Prior experience with office systems and processes, such as SAP, Concur, and Workday, preferably within The Walt Disney Company
  • Experience managing media files, including asset organization, resizing, watermarking, and large-file exchange
  • Interest in experiential entertainment, immersive experiences, and/or new technologies
  • Bachelor's degree or equivalent preferred, although not essential

Compensation, Perks, and Benefits

We offer a competitive salary range of $53,300.00-$73,300.00 per year, depending on experience and qualifications.
