The Role: Bookkeeper and Finance Operations Specialist Imagine being the key player behind the scenes, making sure everything runs smoothly on the financial side of a fast-paced team. From processing invoices and reconciling accounts to managing payroll and reimbursements, you’re the one keeping records accurate, systems organized, and cash flow on track. Whether it’s QuickBooks, Bill.com, or Google Sheets, you know your tools and use them with precision. Behind every report and transaction, you’re the team’s trusted support by double-checking the details, spotting discrepancies, and thinking critically about every number. You’re not just entering data, you’re making sure everything adds up. And the best part? You do it all remotely, as an essential part of a U.S.-based finance or nonprofit team. What Your Days Might Look Like: • Process high volumes of invoices into Bill.com or QuickBooks Online • Track and reconcile credit card transactions and related receipts • Manage payroll processing: weekly hourly payroll and semi-monthly salary payroll • Monitor employee vacation and leave requests using Monday.com and Google Sheets • Record and track reimbursement requests for staff expenses • Perform regular bank reconciliations to ensure financial accuracy • Enter and manage revenue and receivables, with training support available • Prepare and post journal entries for various accounts • Record debt service payments and payroll allocations • Support preparation of nonprofit financial statements (Statement of Activities, cash flow analysis, etc.) • Provide accurate, timely financial data to leadership and the fractional CFO for oversight • Approach bookkeeping tasks with critical thinking—understanding the “why” behind processes, not just inputting data • Research and problem-solve financial discrepancies independently, asking the right questions when needed Who We Think Will Thrive in This Role: • You have experience in bookkeeping, admin support, or nonprofit finance • You’re confident using QuickBooks Online, Bill.com, and Google Sheets • You’re familiar with tools like Monday.com or can learn quickly • You’re detail-oriented and comfortable juggling multiple financial tasks • You’re self-managed, proactive, and thrive in a remote work environment • You’re a strong communicator with excellent problem-solving skills • You enjoy bringing order and accuracy to complex systems • You are willing to work in a US time zone schedule. • You can secure the required technical setup, including: • At least a 720p HD webcam • A noise-canceling headset • A primary internet connection of at least 25 Mbps • A backup laptop, backup internet device, and backup power source • A main computer with at least Intel Core i5 (or equivalent) and 8 GB RAM • A backup computer with at least Intel Core i3 and 4 GB RAM Why ClearDesk?
