Key Responsibilities
As an Office Assistant & Customer Care Specialist at blithequark, your primary responsibilities will include:
- Providing office communications support by answering calls, forwarding messages, and confirming customer work orders in a timely and professional manner.
- Interacting with customers daily to address appointments, service issues, billing inquiries, and other concerns, ensuring that every customer receives exceptional service.
- Conducting customer satisfaction surveys and courtesy calls to gather feedback and improve our services.
- Tracking customer information and maintaining accurate records in our Customer Relationship Management System.
- Scheduling and delegating work orders to field staff, updating and monitoring schedules as needed to ensure efficient operations.
- Executing daily accounting and bookkeeping tasks, including billing, receivables, and payables, to maintain accurate financial records.
- Managing office supplies and addressing office-related malfunctions or requests to ensure a smooth and productive work environment.
Essential Qualifications
To be successful in this role, you will need:
- A college degree or equivalent business experience, with a focus on customer service or a related field.
- 3+ years of experience in the service industry, with a focus on back-office activities, customer service, or a related field.
- Proficiency in computer literacy, including Microsoft Office Suite and QuickBooks, to efficiently manage office tasks and maintain accurate records.
- Strong organizational, planning, and time-management skills to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills to effectively interact with customers, field staff, and management.
- Critical thinking and attention to detail to resolve customer issues and ensure accurate records.
Preferred Qualifications
We are looking for candidates with:
- Knowledge of the swimming pool industry, including common practices, terminology, and regulations.
- Experience with customer relationship software, such as Salesforce or HubSpot, to efficiently manage customer interactions and data.
