As an Administrative Assistant, you'll play a vital role in ensuring the smooth operation of our food service programs, providing clerical support, and maintaining accurate records.
Key Responsibilities:
- Provide exceptional customer service: Answer telephones and direct inquiries in a professional and client-centric manner, responding to sensitive and confidential information with discretion.
- Maintain confidentiality: Manage and maintain confidential personnel files, ensuring accurate and up-to-date records.
- Support management staff: Assist in preparing confidential employment and labor relations documents, including proposed disciplinary notices, and provide support for staffing needs.
- Record-keeping and data entry: Complete and maintain accurate and up-to-date records of students eligible for free and reduced-priced lunches, enter weekly cash sales and meal counts using computer systems, and perform daily bank deposit reconciliations.
- Vendor management: Process vendor invoices for payment, perform monthly vendor statement reconciliations, and prepare monthly state claim forms for reimbursement.
- Financial reporting: Assist in the preparation of end-of-month financial reports and maintain a clean and safe work environment.
- Meetings and training: Attend in-service and/or safety meetings as required and participate in ongoing training and development opportunities.
- Additional duties: Perform other duties as assigned, demonstrating flexibility and adaptability in a fast-paced environment.
Essential Qualifications:
- High school diploma or equivalent: Required, with a preference for candidates holding an associate's or bachelor's degree.
- Administrative experience: A minimum of 1-2 years of administrative experience, preferably in a food service or education setting.
- Technical skills: Proficiency in computer systems, including Microsoft Office, and experience with data entry and record-keeping.
- Communication skills: Excellent written and verbal communication skills, with the ability to interact effectively with co-workers, school personnel, administrators, students' parents, and supervisors.
- Organizational skills: Strong organizational and time management skills, with the ability to prioritize tasks and maintain accurate records.
Preferred Qualifications:
- Experience with food service programs: Previous experience working in a food service or education setting, with knowledge of relevant policies and procedures.
- Certifications or training: Relevant certifications, such as food safety or nutrition training, are an asset.
- Language skills: Fluency in multiple languages is preferred, particularly in a diverse educational setting.
