As an Entry-Level Virtual Assistant, your primary responsibilities will include:- Providing administrative support to our leadership team, including scheduling appointments, managing calendars, and coordinating travel arrangements.
- Screening and responding to correspondence, including emails, letters, and phone calls, and escalating complex or sensitive issues to the Office Manager.
- Preparing reports, presentations, and other documents as required, and ensuring accuracy and attention to detail.
- Processing expense reports and screening incoming requests, and preparing forms to process and pay requests.
- Coordinating office supplies and equipment, and ensuring that the office environment is well-maintained and organized.
- Handling confidential or sensitive division information with discretion and care.
- Developing and maintaining effective relationships with colleagues, clients, and other stakeholders.
Essential Qualifications
To be successful in this role, you will need to possess the following essential qualifications:- A Bachelor's degree in a relevant field, such as business administration, communications, or a related field.
- Essential level expertise in Microsoft Office, including Microsoft PowerPoint, Microsoft Word, and Microsoft Outlook.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues, clients, and other stakeholders.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Ability to maintain confidentiality and handle sensitive information with discretion and care.
Preferred Qualifications
While not essential, the following qualifications would be highly desirable:- 3 years of general administrative experience, including experience in a similar role or industry.
- Experience with Microsoft Outlook for email and calendar management.
- Partner's or Bachelor's degree in a relevant field.
