We are seeking a highly motivated and detail-oriented Virtual Assistant/Paralegal to join our team. As a Virtual Assistant/Paralegal, you will be responsible for providing administrative support to our legal team, including:- Providing administrative support to the team remotely
- Performing clerical tasks such as organizing electronic files, managing emails, and scheduling appointments
- Utilizing electronic document management systems to maintain and update important files and documents
- Assisting with project management tasks, including coordinating deadlines and tracking progress
- Conducting data entry and maintaining accurate records of information
- Interacting daily with prospective clients, current clients, and attorneys via electronic means
- Managing prospective client intake process (including onboarding)
- Proofreading documents for errors and ensuring they adhere to company standards
- Conducting online research for legal and general information
- Communicating with current clients about matters and billing
- Assisting firm's marketing activities, including social media management
- Creating copy for and scheduling of posts on firm's social media platforms
- Managing firm's social media platforms, including responding to mentions and comments on firm's social media platforms, responding in a timely manner
- Assisting in preparing and filing trademark applications with the USPTO and other authorities
- Maintaining firm's trademark docket
- Proofreading and formatting legal documents (ex. contracts)
- Prioritizing tasks effectively and meeting deadlines
- Providing support to firm in various administrative tasks and legal matters as needed
Requirements
To be successful in this role, you will need to possess the following qualifications and skills:- Proven experience as a virtual assistant or in a similar administrative role
- Proficient in using Dropbox and other document management systems
- Excellent organizational, problem-solving, and time management skills
- Excellent written and verbal communication skills
- Familiarity with project management tools and techniques
- Attention to detail and ability to multitask effectively
- Knowledge of trademark process is a plus
- Strong ability to work independently and collaboratively in a virtual setting
- Strong ability to think critically and meet deadlines
- Must be resident of New York State
