Job Overview

We are seeking an experienced Program Assistant to join our Grantmaking Resource Center (GRC) team. As a Program Assistant, you will play a critical role in supporting the quarterly board cycle, liaising with regional Grantmaking staff, and maintaining the Grants Management System (GMS) database. You will work collaboratively with the GRC team to achieve the objectives of the position, ensuring a smooth proposal intake and review process, and supporting learning and best practices in Grantmaking at NED.

Key Responsibilities

  • Conduct proposal intake for select regions for NED's quarterly proposal review process
  • Liaise with the Grantmaking Program staff to ensure a smooth proposal intake and review process
  • Implement process changes and develop written guidelines and resources about the proposal intake and review for the Grantmaking Program
  • Maintain the Grants Management System (GMS) database and support learning and best practices in Grantmaking at NED
  • Work with GRC teammates to support the quarterly board cycle, including proposal intake, data entry, scheduling review meetings, and preparing for quarterly board meetings
  • Act as the front-line HelpDesk for the GMS database, online application, and process issues
  • Update grantee information in tracking sheets and databases and generate periodic reports using the database for various audiences at NED
  • Help write and edit materials about procedures and technology systems for manuals, guidebooks, and other technical documents
  • Assist with the orientation of new Regional Program, Grants, and Compliance staff to the Grantmaking Program, databases, and any other relevant grantmaking systems
  • Support GRC teammates with their responsibilities outside of preparations for each quarter's board meetings
  • Maintain GRC files and perform other duties as assigned by the GRC Sr. Director and Sr. Manager, Pre-Approval

Essential Qualifications

  • Bachelor's degree in political science, international affairs, or other related field of study
  • Experience providing administrative support, customer service, student services, counseling, tutoring, teaching, or training, preferably at a grantmaking organization or an educational institution
  • Proficiency in Microsoft Office and Excel
  • Excellent written and oral communications skills
  • Attention to detail, ability to meet deadlines, and ability to multi-task and manage diverse activities
  • Ability to work well in a team environment
  • Authorized to work in the United States

Preferred Qualifications

  • Proficiency in a second language, with Russian being a plus
  • Experience with Microsoft SharePoint, Adobe Acrobat and InDesign, and database platforms
  • Experience with data visualization and analysis

Compensation, Perks, and Benefits

The salary range for this role is $45,500 - $60,625 USD, plus benefits. The final offer for a successful candidate will be determined by a combination of factors, including, but not limited to, skill set, level of experience, education, and market considerations.
