Key Responsibilities

  • Oversee day-to-day operations of the office, including answering phones, responding to emails, managing incoming and outgoing correspondence, and managing service appointments
  • Coordinate scheduling of technicians for service calls, installations, and repairs, ensuring timely and efficient dispatching
  • Monitor technician schedules and adjust as needed to accommodate emergencies or last-minute changes
  • Serve as the point of contact for customer inquiries, scheduling appointments, and addressing concerns or complaints in a professional and courteous manner
  • Ensure excellent customer service by promptly responding to customer inquiries and resolving issues in a timely and effective way
  • Organize and maintain systems for documents, invoices, and client records, ensuring accuracy and attention to detail
  • Process payments from customers and follow up on overdue accounts as necessary, maintaining a high level of customer satisfaction
  • Assist in setting up and implementation of ServiceTitan, our dispatching software, and provide feedback for continuous improvement
  • Additional responsibilities to support the growth of the company, including contributing to process improvements and suggesting innovative solutions

Essential Qualifications

To be successful in this role, you will need:

  • Experience in dispatching, preferably in a similar industry such as plumbing, HVAC, or electrical services
  • Proficiency in Google Suite, Slack, and dispatching software such as ServiceTitan
  • Excellent time management skills, with the ability to multitask and prioritize work in a fast-paced environment
  • Attention to detail and problem-solving skills, with a focus on providing effective solutions
  • Excellent communication skills, with the ability to communicate effectively with customers, suppliers, and team members
  • Familiarity with plumbing/HVAC/service terminology, processes, and materials, which can be beneficial for understanding the business and communicating effectively with technicians and customers
  • A clear background check, as we prioritize the safety and security of our customers and team members

Preferred Qualifications

While not essential, the following qualifications are highly desirable:

  • Previous experience in a customer-facing role, with a proven track record of providing exceptional customer service
  • Knowledge of the trades industry, including plumbing, HVAC, and electrical services
