Logistics Coordinator /Imports/Exports - Wholesale to Retail/

We are seeking a detail-oriented and experienced Logistics Coordinator to manage the end-to-end order lifecycle, ensuring smooth coordination between imports, exports, and domestic logistics operations. This role is responsible for maintaining order accuracy, managing inventory allocations, and coordinating shipments from warehouse to retail partners. The ideal candidate will have strong ERP experience, excellent communication skills, and a solid understanding of wholesale-to-retail supply chain processes. Key Responsibilities Order Management & ERP Execution • Accurately enter and update customer purchase orders in the ERP system. • Allocate inventory against sales orders, ensuring proper alignment of on-hand and in-transit stock. • Maintain data integrity within ERP by updating order, shipment, and inventory records. • Generate and analyze open order and allocation reports, flagging potential issues for timely resolution. Logistics & Shipping Coordination • Manage daily outbound shipments, ensuring adherence to routing guides, customer shipping windows, and compliance requirements (ASN/UCC, BOLs, labels). • Prepare and distribute key shipping documents such as packing lists, bills of lading, and routing confirmations. • Coordinate with carriers to confirm pickups and resolve delivery or documentation discrepancies. • Track inbound containers, update ERP with ETAs, and support import scheduling. Inventory Control & Allocation • Monitor and reconcile stock levels between physical and ERP records. • Assist with cycle counts, inventory audits, and variance resolution. • Align inventory allocations with customer deadlines, cancel dates, and stock availability. Cross-Functional Collaboration • Communicate proactively with Sales on order status, substitutions, and backorders. • Partner with Warehouse and EDI teams to ensure timely and accurate order fulfillment. • Coordinate with Import teams regarding inbound inventory that affects allocations. • Support compliance and audit requirements through organized documentation management. Process Support & Continuous Improvement • Identify recurring logistics or allocation issues and propose process enhancements. • Maintain audit-ready documentation (BOLs, PODs, routing approvals) within ERP systems. • Participate in system clean-up and data accuracy initiatives related to orders, allocations, and shipments. • 3–5 years of experience in logistics, import/export coordination, or supply chain operations (wholesale/retail industry preferred). • Proficiency in ERP systems (experience with AMT ERP is a plus). • Strong organizational, analytical, and problem-solving skills. • Working knowledge of routing guides, shipping documentation (ASN/UCC, BOLs, labels), and carrier coordination. • Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables) and familiarity with Word and Outlook. • Ability to manage multiple priorities in a fast-paced, deadline-driven environment. • Excellent verbal and written communication skills with a team-oriented mindset.
