About the Role

The Customer Service Representative will perform customer service duties in accordance with department and company objectives, acting as a liaison between customers and the company to facilitate sales and resolve account or service problems. The successful candidate will provide customers with information about products and services, solicit and maintain favorable contacts with current and potential key accounts, and develop relationships with internal and external customers that will benefit the overall business plan.

Key Responsibilities

  • Prepare quotes, perform data entry, and follow up on customer orders, handling customer complaints in a professional and timely manner to ensure resolution and customer satisfaction
  • Train other Customer Service Representatives on daily activities, including RFQs and proper formatting
  • Process strategic quotes for RFQs and work directly with Product Managers, Buyers, Account Managers, and other stakeholders
  • Act as a liaison between customers and internal departments, interfacing with various teams such as Shipping, Planning, Engineering, and Quality
  • Process and coordinate large spreadsheets and LTAs as required for the Customer Support team
  • Prepare quotes for customers, including pricing and delivery, and coordinate with necessary departments to obtain pricing or resolve delivery issues
  • Accept orders from customers, book orders to the applicable location, and coordinate adding item masters for part numbers as required
  • Perform proper Contract Review and follow all Sales Procedures as required
  • Maintain organized sales files, including purchase orders, sales orders, changes, notices, and correspondence with customers or factories
  • Handle initial rejected parts or paperwork from customers, coordinate with the Quality Department, and issue an RMA when necessary
  • Work with the Credit team to resolve past-due invoices or short pays, performing necessary research and initiating credit/debit memos as required
  • Obtain knowledge of arenaflex products, including conversions, substitutions, and competitor products
  • Visit assigned customers with coordination from the Account Manager and Team Leader, as required
  • Understand customer terms and conditions, long-term agreements, and contract language
  • Train coworkers and mentor less-senior employees, providing guidance and support as needed
  • Work with minimum supervision, handling a fast-paced work environment and stressful situations with ease

Essential Qualifications

To be successful in this role, you will need:

  • At least 3 years of experience in customer service or sales, preferably in a manufacturing environment
  • Strong interpersonal and communication skills, with the ability to build relationships with internal and external customers
  • Proficiency in Microsoft Word, Excel, and PowerPoint, with a typing speed of 50+ words per minute
  • Familiarity with arenaflex systems (COP, CPQ, GCS) is preferred, but not required
  • Strong problem-solving and organizational skills, with the ability to work in a fast-paced environment
  • Familiarity with distributor accounts and specifics regarding distributor agreements and procedures
  • Ability to read, write, and understand English, with excellent communication and interpersonal skills

Preferred Qualifications

While not essential, the following qualifications are preferred:

  • Experience in the aerospace or transportation industries, with knowledge of fastening systems and commercial transportation fasteners
  • Familiarity with export-controlled items and the ability to lawfully obtain access to such items
  • Experience with ITAR regulations and compliance
