Executive Assistant / Personal Assistant ( Marketing Agency)
We are seeking a proactive and adaptable Executive Assistant / Personal Assistant to support a busy executive leading a fully remote U.S. based marketing agency. This role is ideal for someone with excellent organizational skills, experience in managing both professional and personal administrative tasks, and confidence in client-facing communication.
Key Responsibilities:
Manage the executive’s calendar, scheduling meetings, calls, and events across multiple time zones
Coordinate travel arrangements, restaurant bookings, and U.S.-based event logistics (including contract negotiation with vendors)
Provide assistance with personal errands and recurring tasks (e.g., grocery scheduling)
Help create and format presentation materials in Google Slides
Maintain confidentiality while managing emails or calendar subscriptions
Assist in LinkedIn presence building and personal brand development
Communicate effectively via Slack, Zoom, WhatsApp, or other preferred channels
Integrate with the internal team via Google Workspace, Asana, and Salesforce (basic familiarity preferred)
Must-Have Qualifications:
2+ years of experience as an EA or PA, preferably supporting U.S. clients
Prior experience in a marketing agency or understanding of marketing terms
Strong spoken and written English communication skills (client prefers South African accent)
Experience in travel coordination and event planning within the U.S.
Proficiency in Google Workspace (Docs, Slides, Sheets), LinkedIn, and basic design sense for decks
Ability to maintain discretion and uphold confidentiality agreements (NDA required)
