Job Overview

In this full-time role, you will be responsible for maximizing refunds for UPS damages claims and ensuring that our company's suppliers are paid accurately and on time. Your exceptional organizational skills, attention to detail, and ability to work effectively with internal and external parties will make you an invaluable asset to our team. Schedule and Work Arrangements

This remote position offers a standard Monday to Friday schedule, from 8am to 5pm Eastern Time, with an hour unpaid break. While you will have the flexibility to work from anywhere, you may be required to travel to our NY office headquarters up to once a year for internal meetings and team-building activities. Don't worry, we've got you covered – the cost of travel for employees out of the area will be covered by arenaflex. Our offices are always available for staff to use as much as desired, providing a collaborative and supportive work environment.

Key Responsibilities

  • Submit UPS and freight damage claims daily, with a special attention to older claims, to ensure timely refunds and minimize losses.
  • Complete all damaged and missing package claim paperwork, maintaining accurate and up-to-date records.
  • Review refund checks for accuracy and mark them as paid, ensuring seamless accounting processes.
  • Update corresponding documents at each stage, reflecting the status of claims and payments.
  • Conduct price checking and review all invoices for approval prior to payment, ensuring accuracy and compliance.
  • Resolve inventory discrepancies with internal and external parties, utilizing strong communication and problem-solving skills.
  • Create payments to ensure vendors are paid accurately and in a timely manner, applying discounts appropriately.
  • Perform data entry using NetSuite, maintaining accurate and efficient accounting records.
  • Collaborate with various internal parties to resolve discrepancies between invoices, purchase orders (POs), and payments, promoting a culture of teamwork and open communication.
  • Respond to all co-worker and vendor inquiries in a professional and timely manner, providing exceptional customer service and support.

Requirements and Qualifications

To succeed in this role, you will need:

  • A Bachelor's degree in Accounting or Business, or a related field, with a strong foundation in accounting principles and practices.
  • Proficient data entry skills, with high accuracy and efficiency.
  • Strong attention to detail, with a focus on precision and quality.
  • A pleasant and personal demeanor, with excellent verbal and written communication skills.
  • Extremely organized, with strong follow-through and ability to prioritize tasks effectively.

Preferred Qualifications

While not required, the following qualifications will be considered an asset:

  • Experience with NetSuite or similar accounting software.
  • Knowledge of e-commerce operations and logistics.
  • Previous experience in an accounting or finance role, with a focus on data entry and accounts payable.
