Job Summary

We are looking for an experienced and detail-oriented Passport Data Entry Clerk II to support the Chicago Passport Agency. The ideal candidate will possess excellent communication skills, experience working with customers in a front-facing capacity, and the ability to work effectively in a fast-paced environment. As a key member of our team, you will be responsible for operating high-speed scanning equipment, processing mail, and providing exceptional customer service to passport applicants. Key Responsibilities

  • Operate various equipment for high-speed scanning, mail out, and metering of mail, ensuring accuracy and efficiency in all processes.
  • Prepare and mail envelopes with correct passport and corresponding supporting documents, maintaining attention to detail and adherence to established procedures.
  • Box and archive files for storage purposes, ensuring compliance with regulatory requirements and arenaflex's quality standards.
  • Interface with passport applicants at Agency/Center Information and Will-Call counters, providing exceptional customer service and support.
  • Review passport applications, photographs, identification, and supporting documentation for completeness and accuracy, ensuring compliance with Passport requirements and standards.
  • Print and review passport books for accuracy and quality, prior to distribution to applicants.
  • Process refund/reimbursement requests, generate credit card payments, and distribute completed batches to the Cashier's Office, maintaining accurate records and ensuring timely processing.
  • Assist with Acceptance Agent training, preparing training materials, conducting "meet-and-greets," setting up training sessions, and conducting office tours.
  • Assist in maintaining and cataloging electronic records of passport acceptance facilities, ensuring data accuracy and integrity.
  • Contact applicants to request necessary documents, resolving issues and providing support in a professional and courteous manner.
  • Resolve undeliverable mail items by contacting customers and documenting actions taken in a SharePoint application, ensuring effective communication and issue resolution.

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • High school diploma or GED, with a minimum of three years of general office experience.
  • Two years of experience utilizing a variety of office software, specifically Microsoft Office.
  • Ability to perform repetitive tasks while maintaining a high level of accuracy and attention to detail.
  • Excellent communication and customer service skills, with experience working in a front-facing capacity.
  • Ability to work in a fast-paced environment, with a strong focus on teamwork and collaboration.
  • US citizenship is required, with the ability to obtain an MRPT clearance.
