**Job Summary**
As a Customer Service Representative I, you'll be the primary point of contact for assigned customers, responsible for managing their interactions and relationships. You'll work closely with various teams, including Contracts, Operations, and Supply Chain, to ensure seamless communication, accurate order processing, and timely delivery. Your goal will be to achieve customer satisfaction, meet quality and cost requirements, and identify opportunities for growth and loyalty.
**Essential Functions**
Your key responsibilities as a Customer Service Representative I will include:
* **Serve as the primary source of contact for assigned customer-related inquiries and represent the voice of the customer**. You'll be the face of arenaflex, ensuring that customers feel heard, valued, and supported.
* **Manage all aspects of the customer relationship and daily interactions**. You'll be responsible for building strong relationships, resolving issues, and providing exceptional service to our customers.
* **Support Order Management to ensure accurate and timely Order processing and returns**. You'll work closely with the Order Management team to ensure that orders are processed efficiently and effectively.
* **Understand all executed contract terms for assigned customers through collaboration with Contracts Team**. You'll work closely with the Contracts team to ensure that you have a deep understanding of customer contracts and requirements.
* **Monitor existing contracts for compliance relative to delivery requirements**. You'll be responsible for ensuring that arenaflex meets its contractual obligations and delivers on time.
* **Develop and maintain Customer specific manuals, as well as key contractual elements**. You'll create and maintain documentation that's essential for customer relationships and contract management.
* **Negotiate and manage changes in customer demand to ensure accurate flow down in support of on-time delivery**. You'll work with customers to understand their changing needs and ensure that arenaflex can meet those needs.
* **Follow up on quotes and monitoring quotes**. You'll be responsible for tracking quotes and ensuring that they're followed up in a timely manner.
* **Maintain knowledge and train others to navigate and manage customer schedules and portals**. You'll be a subject matter expert on customer schedules and portals, and you'll train others to ensure that they're equipped to manage these systems.
* **Work closely with Accounts Receivable and Customers for quick resolution to contested invoices and deductions**. You'll work with the Accounts Receivable team to resolve any issues related to invoices and deductions.
* **Know and apply all terms of Long Term Agreements for assigned customers**. You'll be responsible for understanding and applying the terms of long-term agreements with customers.
* **Develop and maintain customer information documents for other team member's use**. You'll create and maintain documentation that's essential for customer relationships and contract management.
* **Work closely with operations and supply chain to ensure Customer On-Time Delivery**. You'll work with the Operations and Supply Chain teams to ensure that customers receive their orders on time.
* **Proactively monitor customer delivery schedules and track critical shortages**. You'll be responsible for monitoring customer delivery schedules and identifying any critical shortages.
* **Team with Supply Chain Management to expedite urgent customer needs**. You'll work with the Supply Chain Management team to expedite urgent customer needs.
* **Analyze and Problem solve customer specific performance issues**. You'll be responsible for analyzing and resolving customer-specific performance issues.
* **Develop an internal support plan to meet all customer performance expectations and requirements**. You'll create and implement a plan to ensure that arenaflex meets customer performance expectations and requirements.
**Qualifications**
To be successful as a Customer Service Representative I, you'll need to possess the following qualifications:
* **Basic Qualifications:**
+ Bachelor's Degree in Business, Marketing, or a related field from an accredited institution.
+ Minimum 5 years of experience in customer service, contract administration, or a related field.
+ Legally authorized to work in the United States without company sponsorship.
+ Relocation benefits are not provided for this role. Only local candidates residing within 50 miles of Torrance, CA will be considered.
* **Position Criteria:**
+ Ability to train others and work in a team-oriented environment.
+ Strong communication skills and interpersonal skills to support internal and external contacts within a multi-cultured environment.
+ Demonstrated experience working with MS Office software package.
+ Analytical skills and detail-orientation.
+ Ability to prioritize and execute multiple tasks in an efficient manner, and work on multiple projects simultaneously and independently.
+ Ability to work on time-sensitive projects, meet critical deadlines, and deliver commitments in a calm and organized manner.
+ Must be able to travel up to 10% of the time.
+ Customer service skills and aptitude.
* **Preferred Qualifications:**
+ Work experience with SAP.
+ Work experience in a customer support role for technical products.
+ Experience with preparing proposals.
+ Proficiency or knowledge of ERP systems.
+ Prior experience with customer portals.
