Executive Assistant to Chief Operating Officer
Job Description
Job Summary:
The Executive Assistant to the COO provides high-level administrative, operational, and strategic support to ensure the effective functioning of the COO's office. This role requires strong business acumen, exceptional organizational skills, sound judgment, discretion, and the ability to manage competing priorities in a fast-paced environment. The Executive Assistant serves as a trusted partner to the COO, acting as a key liaison with executive leadership, internal teams, and external stakeholders.
Duties/Responsibilities:
Executive & Administrative Support
• Manage the COO's complex calendar, including scheduling meetings, travel, and triage executive priorities
• Oversee end-to-end executive travel planning and logistics, anticipating needs and resolving issues proactively
• Manage expense reports and related documentation in accordance with company policies
• Prepare agendas, presentations, reports, and briefing materials for meetings and executive reviews
• Assists with drafting, reviewing, and managing correspondence on behalf of the COO
• Maintain confidentiality while handling sensitive company and personnel information
Operational & Strategic Support
• Track operational initiatives, action items, and deliverables across departments to completion
• Support cross-functional projects by coordinating meetings, timelines, and follow-ups
• Assist with data gathering, reporting, and analysis to support operational decision-making
• Serve as a point of contact for operational inquiries, escalating issues as appropriate
Communication & Coordination
• Act as a liaison between the COO and internal teams, executive leadership, and external partners
• Coordinate executive-level meetings, offsites, and leadership events
• Ensure clear communication flow and timely follow-up on commitments
Process Improvement & Organization
• Identify opportunities to improve administrative and operational processes
• Maintain organized systems for documents, contracts, and operational records
• Support the COO in driving efficiency, alignment, and execution across the organization
Skills/Abilities:
• Minimum 5 years of experience supporting senior executives (COO, CEO, or equivalent)
• Proven experience in a fast-paced, complex organization
• Exceptional organizational, time-management, and multitasking abilities
• Strong written and verbal communication skills
• High level of professionalism, discretion, and integrity

Experience and Skills
Education and Experience:
• Bachelor's degree in Business Administration, Operations, or a related field experience preferred
• Experience supporting operational leadership or large-scale initiatives
• Advanced proficiency in Microsoft Office and/or Google Workspace; comfort with project management tools
• Ability to anticipate needs, think proactively, and problem-solve independently
