Position Overview

The Full‑Time Data Entry & Administrative Assistant will serve as a pivotal support resource for senior leadership, ensuring seamless office operations, meticulous data management, and high‑quality executive assistance. Key Responsibilities

  • Executive Support: Manage and maintain the executive’s calendar, schedule meetings, conferences, teleconferences, and travel arrangements with precision.
  • Guest & Customer Interaction: Greet visitors and callers professionally, field inquiries, and direct them to appropriate contacts.
  • Communication Management: Draft, edit, and route correspondence; transcribe messages; compose reports and presentations as required.
  • Data Entry & Database Maintenance: Accurately input, validate, and update data across multiple systems; perform regular database backups and integrity checks.
  • Record Keeping & Filing: Develop and maintain organized filing and retrieval systems for both physical and electronic documents; ensure confidential information is securely stored.
  • Report Generation: Compile, analyze, and present data-driven reports that support decision‑making for leadership.
  • Office Operations: Monitor inventory of supplies, coordinate procurement, and oversee preventive maintenance of office equipment.
  • Project Coordination: Assign tasks to clerical staff, track progress, and ensure timely completion of assigned projects.

Essential Qualifications

  • Minimum of 1–2 years of office or administrative experience, preferably in a fast‑paced environment.
  • Proven data entry experience with a typing speed of at least 50 words per minute and high accuracy.
  • Moderate to advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with data‑entry platforms.
  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and handle sensitive information responsibly.
