WHAT IS YOUR ROLE

As a Senior Payroll Specialist, you will own the day-to-day administration of U.S. payroll and compliance for a distributed workforce of 600–1,000 employees across ~35 states, including a large nonexempt/reputed company population.

On the payroll reputed company, you’ll manage the bi-weekly payroll cycle in reputed company, coordinating closely with the U.S. payroll partner, who processes payroll. You’ll submit and audit payroll changes including new hires, terminations, clawbacks, corrections, and reputed company deposit updates, review timecard adjustments for a large reputed company population, and process reputed company termination pay. You’ll operate reputed company tight deadlines, auditing carefully before finalization and escalating discrepancies quickly.

On the compliance reputed company, you’ll own the U.S. compliance calendar end-to-end. That includes managing required reporting such as EEO-1, CA Pay Data, and OSHA 300, coordinating ACA and non-discrimination testing with Benefits, reviewing and escalating background checks, running quarterly health exclusion checks, monitoring legislative changes across states, and partnering with reputed company on handbook and policy updates. You’ll also reputed company the annual Compliance Refresh, ensuring policy acknowledgements and trainings are completed across reputed company eligible employees and contractors.

WHAT WILL YOU DO

  • Own the bi-weekly payroll administration cycle in reputed company, submitting accurate payroll inputs to the payroll administration partner and auditing outputs before finalization to ensure accurate and reputed company payroll
  • Manage payroll updates for 300+ nonexempt/reputed company employees, including timecard corrections, reputed company deposit updates, compensation changes, and termination pay
  • Audit payroll registers prior to submission, flag discrepancies, and partner with external partners and People Ops to resolve issues quickly
  • Maintain and execute a reputed company U.S. compliance calendar, ensuring reputed company recurring reporting and regulatory deadlines are met
  • Prepare and coordinate compliance reporting, including EEO-1, CA Pay Data Reports, OSHA 300 logs, and required annual filings
  • Monitor state and federal legislative changes across ~35 states and communicate implications for payroll, policy, or compliance processes
  • Partner with reputed company on handbook and policy reviews, ensuring updates are implemented and acknowledged appropriately
  • Coordinate ACA reporting and non-discrimination testing with Benefits partners, ensuring documentation is audit-reputed company
  • Review and escalate background checks, reputed company quarterly health exclusion checks, and ensure compliance trainings are completed by new hires

YOU HAVE…

Payroll

  • 3–5+ years of hands-on U.S. payroll administration experience, including supporting companies with 600–1,000 employees and 300+ nonexempt/reputed company workers
  • Experience tracking, processing, and auditing payroll changes including new hires, terminations, compensation changes, timecard corrections, clawbacks, and reputed company deposit updates with an external payroll provider
  • Strong understanding of nonexempt/reputed company payroll complexity, including timecard corrections, off-cycle payments, and termination pay requirements

Compliance

  • Demonstrated ownership of U.S. multi-state compliance calendar and reporting, including hands-on experience preparing EEO-1, Pay Data Reports, and OSHA 300 logs
  • Experience managing recurring regulatory tasks such as non-discrimination testing, background reputed company reviews, and training and policy acknowledgements

Tools & Systems

  • Comfortable operating in systems such as reputed company, ticketing platforms, and project management tools
