Position Overview

We are currently seeking a motivated and customer-focused Remote Customer Service Representative (CSR) & Dispatcher to join our dynamic team. This is a full-time position that offers the flexibility of working remotely or from our office location in Wilmington, Massachusetts. As the first point of contact for our customers, you'll play a crucial role in shaping their experience with arenaflex and ensuring they receive the exceptional service they deserve.

Key Responsibilities

As a Customer Service Representative and Dispatcher at arenaflex, your daily activities will be diverse and engaging. You'll be the backbone of our customer operations, ensuring seamless communication and efficient service delivery. Here's what you can expect:

Customer Service Excellence

  • Serve as the primary point of contact for customers, responding to inquiries via phone, email, and text messages with professionalism, empathy, and enthusiasm
  • Listen actively to understand customer needs and concerns, providing accurate information and personalized solutions that exceed expectations
  • Resolve customer complaints and issues efficiently, documenting all interactions in our CRM system to ensure continuity of care
  • Maintain a positive and courteous demeanor in all customer interactions, representing arenaflex with integrity and professionalism
  • Follow up with customers to ensure their issues have been resolved to their satisfaction and gather feedback for continuous improvement
  • Educate customers about our services, pricing, and scheduling policies, helping them make informed decisions

Dispatch & Scheduling Operations

  • Coordinate and schedule service appointments for our team of experienced technicians across plumbing, heating, electrical, drain cleaning, sewer repair, and gas work services
  • Dispatch service calls efficiently, matching customer needs with technician skills and availability to optimize productivity
  • Manage and update technician schedules in real-time, adjusting routes and priorities as needed to accommodate emergency requests
  • Monitor job progress and communicate updates to both customers and technicians to ensure everyone stays informed
  • Utilize dispatching software and tools to track technician locations, estimated arrival times, and job completion status
  • Identify opportunities to improve dispatch efficiency and reduce response times

Communication & Collaboration

  • Foster clear and effective communication between customers, technicians, and internal teams
  • Relay important information such as appointment details, service updates, and special instructions to all relevant parties
  • Collaborate with field technicians to ensure they have all necessary information to complete jobs successfully
  • Participate in team meetings and training sessions to stay updated on company policies, procedures, and service offerings
  • Contribute to a positive team environment by supporting colleagues and sharing best practices

Problem Resolution

  • Proactively identify and address any issues or challenges that arise during the service process
  • Demonstrate resourcefulness in finding solutions to customer and operational problems
  • Escalate complex issues to supervisors when necessary, providing detailed documentation for resolution
  • Implement preventive measures to reduce future occurrences of common issues
  • Maintain detailed records of all customer interactions, complaints, and resolutions for quality assurance purposes

Preferred Qualifications

While not strictly required, the following experience and skills will help you stand out from other applicants:

  • Previous experience in customer service, dispatching, or a related field within the home services industry
  • Familiarity with Service Titan or similar field service management software
  • Experience in plumbing, HVAC, electrical, or similar trade environments
  • Background in scheduling, logistics, or coordination roles
  • Knowledge of the Wilmington, MA area and surrounding communities
  • Bilingual capabilities (especially Spanish) are always a valuable asset
