The Role Remote, Employee Position We are seeking a detail-oriented and experienced Client Coordinator & Senior Bookkeeper to join our team. This hybrid role will combine client-facing coordination with advanced bookkeeping responsibilities, including but not limited to payroll management and bill pay. You will play a critical role in maintaining smooth operations, ensuring client satisfaction, and delivering accurate financial records. This position will start at 20-25 hrs a week and gradually increase to Full Time 32 hrs a week within 3-6 months with an hourly rate dependent on the candidate's skill set. Key Responsibilities Client Coordination: • Serve as the primary point of contact for a select group of clients, ensuring timely communication and updates. • Maintain exceptional customer service. • Assign client requests to the appropriate team member. Senior Bookkeeping: • Process payroll and ensure compliance with local, state, and federal regulations. • Handle payroll adjustments, including updates for benefits such as 401(k) contributions and tax withholding. • Monitor 401(k) contributions for employees, ensuring compliance with contribution limits and resolving discrepancies. • Perform monthly reconciliations for multiple accounts, ensuring accuracy and completeness. • Generate financial reports, including balance sheets, income statements, and cash flow analyses. • Support tax preparation by organizing records, verifying data, and liaising with tax professionals as needed. What Does the Day-to-Day Look Like? • Working closely with the team, you'll manage day-to-day accounting operations for your assigned clients (transaction entry, payroll processing, bill payments, reconciliations, etc.). • Your tasks will be clearly organized in our project management system Karbon, helping you successfully balance work across multiple clients. • As the primary client coordinator, you'll maintain professional communication, answering questions and gathering necessary information. • You'll be encouraged to ask questions and seek clarity from the team whenever you're unsure about how to handle something in a client's books or systems. We believe that open communication leads to better results. • Attention to detail and follow-through are crucial as you monitor deadlines for payroll, 401(k) compliance, bill pay and monthly reconciliations. Qualifications • Strong understanding of payroll systems (Gusto, QBOP, ADP) and compliance requirements. • Proficiency in accounting software including QuickBooks Online, Xero and Microsoft Office Suite (especially Excel),and 3 Party Bill Pay Services. • Ability to use multiple software programs simultaneously to complete work. • Minimum 2 - years of experience in bookkeeping or a similar role. • Excellent organizational and communication skills. • Ability to prioritize tasks and meet deadlines. • Proven experience with client management and delivering exceptional customer service.
