Executive Assistant for a Virtual Production Company in the US (Home Based Full Time)

Job Description • Provides high-level administrative support and assistance to the CEO, President, Chief of Staff, and/or other assigned leadership staff. • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff. • Arranges travel and accommodations for executives (Ramp - Tim, Travel - Tim + NAB + OPS). • Schedules and attends meetings on behalf of executives, taking notes and recording minutes. • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff. • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping. • Maintains and reviews executive calendars daily and weekly for issues/overlaps, updating the meeting document and sending weekly emails and daily text reminders (Calendar Maintenance / Calendar Doc + Weekly Email). • Drafts emails and builds up to drafting communications for the leadership team (Email drafts). • Plans and coordinates All Hands meetings, including organizing food, games, and checking in on slide completion (All Hands Planning). • Follow up on all small projects, checking in on progress and ensuring accountability. • Performs additional duties as assigned by executives. • Performs other related duties as assigned. Skill Set • This role is open to Filipino citizens residing in the Philippines only. • At least 4 years of related experience required. • Excellent verbal and written communication skills. • Excellent organizational skills and attention to detail. • Excellent time management skills with a proven ability to meet deadlines. • Ability to function well in a high-paced and at times stressful environment. • Adaptable, organized, excellent people skills. • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. • Able to type a minimum of 50 words per minute. • Extremely proficient with the Google Suite or similar software with the ability to learn new or updated software. • Prolonged periods sitting at a desk and working on a computer.
