Location: Remote – Only hiring in Vermont, Maine, New Hampshire, Colorado, New Jersey, Virginia, Louisiana, New York, North Carolina, Pennsylvania, and Ohio Employment Type: Full-Time, Non-Exempt Schedule: Monday to Friday, 8 AM – 5 PM (Rotating On-Call Evenings/Weekends) Equipment Provided: Computer and headset (Reliable internet connection with backup required) About Us: At Hands at Home Care Services we believe in providing exceptional care to clients while supporting our caregivers with efficient, compassionate scheduling. As a Lead Scheduler, you will play a key role in ensuring that client needs are met, schedules are covered, and communication remains consistent and solution-focused. Our lead scheduler will manage at minimum, 2000 client hours weekly. Key Responsibilities: Scheduling & Coverage • Create and maintain caregiver schedules in AxisCare, ensuring every shift is covered with minimal disruption. • Proactively fill shifts using backup caregivers and alternate schedules to avoid cancellations. • Match caregivers to clients based on care needs, client preferences, and consistency. Care Plans & Documentation • Review client care plans to remain knowledgeable about the client's needs. • Monitor caregiver shift notes, ADL completion, and overall compliance. • Report non-compliance issues to the Field Staff Manager and maintain accurate records. Client & Staff Communication • Serve as the primary contact for clients and caregivers, ensuring clear and compassionate communication about schedule changes. • Follow up with clients to confirm satisfaction and address any concerns. • Act as a caregiver advocate, ensuring their needs and concerns are addressed promptly. • Receive and make phone calls, receive and send email and messages to staff and clients. On-Call Responsibilities: • Participate in a rotating on-call schedule, covering evenings and weekends. • Respond to urgent scheduling issues, caregiver call-offs, and emergencies. • Communicate effectively with clients and caregivers, documenting all after-hours incidents. Continuous Improvement: • Identify opportunities for scheduling efficiency and workflow optimization. Qualifications: • Education: High school diploma or equivalent required. • Experience: • 1+ years of scheduling, coordination, or administrative support, preferably in healthcare or home care. • Experience using scheduling platforms like AxisCare is a plus. • Skills: • Excellent communication and customer service abilities. • Strong time management and organizational skills. • Ability to remain calm under pressure and resolve issues quickly. • Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail). • Understanding of HIPAA compliance and home care standards.
