Executive/Personal Assistant to CEO

Justice by Carter is a mission-driven, high-volume law firm with a heavy emphasis on family law. We are fast-paced, strategy-focused, and results-driven — and we are looking for a trusted, proactive right hand to the CEO: a hybrid Executive Assistant & Personal Assistant who can manage both high-level business priorities and selected personal matters with discretion, urgency, and precision.
This is not a “grocery run” role. You will be the operational gatekeeper for the CEO’s time, ensuring that legal, business, and personal priorities are organized, scheduled, and executed flawlessly. You will protect the CEO’s bandwidth, keep operations flowing, and make sure urgent needs are handled before they reach her desk.

Primary Responsibilities
Executive-Level Duties
• Manage the CEO’s and firm’s calendar — proactively spotting conflicts and mitigating scheduling conflicts, and ensuring the CEO scheduled meetings and deadlines are never missed.
• Prepare meeting materials, speaking engagement packets, and presentation decks.
• Act as the liaison between the CEO and attorneys, staff, and clients — filtering information and prioritizing CEO time.
• Track, follow up, and hold the team accountable for outstanding tasks and initiatives.
• Assist in project management for firm initiatives, marketing, and operations.
• Route and escalate urgent case issues and client follow-ups.
• Gather weekly reports on team KPIs and vendor activities.
• Coordinate travel, itineraries, speaking engagements, and firm events.
• Support business development projects, marketing initiatives, and operational priorities.
• Prioritize, filter, and tag the CEO’s inbox & updating cask task in Motion.
Personal Support Duties
• Schedule personal/family events, medical appointments, and travel.
• Manage vendors and contractors for household needs.
• Organize personal records and renewals.
• Maintain full discretion with sensitive personal matters.
Who You Are
• Proven EA and/or PA experience supporting a senior executive in a high-paced, high-stakes environment (law firm or professional services strongly preferred).
• Kolbe Quick Start of 7–9 and Follow Thru of 5–7 — you make things happen fast while keeping them organized. (We require your Kolbe score to interview.)
• Exert in Microsoft Outlook, MS Teams, proficient in Excel/Google Sheets and has capable of learning new tools quickly (Clio, Read.ai, Motions, Google Workspace) by watching established trainings, independent research and training if required.
• Able to switch between high-level executive tasks and personal-life coordination seamlessly.
• Anticipates needs without being told twice; treats every request as mission-critical.
• Communicates confidently up and down the chain of command.
• Handles all matters — legal or personal — with absolute confidentiality.
• Thrives in a remote setup with minimal supervision.
Compensation
• Base Salary: $55,000–$60,000/year (DOE)
• Performance Bonus: Up to $20,000/year, tied to clearly defined 90-day KPIs and ongoing revenue-impact metrics.
Kolbe Requirement
This role requires a specific problem-solving profile.

Work Environment
• Full-time, salaried exempt position. This role is results-driven, not clock-driven, and requires flexibility to meet urgent needs in a fast-paced law firm environment.
• Remote (must work hours aligned with CST — No Exceptions)
• Available for immediate response during business hours, with flexibility for urgent matters.
• Daily MS Teams video presence during working hours is required.
• High-urgency environment.
• Zero Absences during the first 90 days (probationary period) — a zero-tolerance policy to ensure uninterrupted onboarding and reliability. (Legally protected leave will be honored.)
