We are seeking a highly skilled and experienced Office Administrator to join our team at Workwarp, a leading multistakeholder forum for accountability, shared learning, and collective advocacy on government and company policies and practices at the intersection of technology and human rights. As a key member of our team, you will play a vital role in maintaining the smooth operation of our organization and ensuring the effective implementation of our policies, processes, and procedures.

Key Highlights:

  • Competitive salary: $35,000 - $45,000 per year
  • Remote work opportunity with flexibility to work from our Washington, DC office
  • 24 hours per week, with availability during USA work hours required

Job Responsibilities:

As an Office Administrator, you will collaborate with our Executive Management team to implement and ensure the execution of organizational and financial policies, processes, and procedures across the organization and membership. Your key responsibilities will include:

Accounting Functions:

  • Support, organize, and implement accounting functions under the supervision of the Managing Director and our external accounting firm
  • Maintain financial record keeping, including recording payments, writing/preserving receipts, and preparing bank deposits
  • Maintain a system for accounts receivable and payable, including invoicing, purchase orders, and check register
  • Monitor and collect accounts receivables, reporting delinquent accounts to the Managing Director and accounting firm
  • Collaborate with the Managing Director and accounting firm to track grant and organizational budgets
  • Help prepare financial and statistical reports

Administrative Functions:

  • Help track and maintain records, complete filings, and serve as a liaison for issues related to regulatory compliance
  • Provide logistical assistance with scheduling and organizing external meetings and events, including board meetings

Requirements:

To be successful in this role, you will need:

  • 5+ years of experience in office management, ideally in the non-profit sector
  • Knowledge of statutory compliance requirements for nonprofits operating in the U.S.
  • Experience with accounting procedures and policies pertinent to nonprofits
  • Proficiency in accounting software, including Quickbooks and Bill.com
  • Excellent administration skills, including managing travel bookings, tasks, schedules, and information
  • Attention to detail, excellent time management, and ability to work independently
  • Excellent verbal communication skills and strong organizational skills
