Key Responsibilities:
  • Administrative Support: Plan, organize, and coordinate meetings (in-person and virtual), staff recruitment, personnel matters, publications, budget/expenditure records, and supply acquisition.
  • Presentation Development: Create clear and well-conceptualized PowerPoint presentations.
  • Translation: Compose English and Spanish translations for assigned duties.
  • Daily Operations: Manage day-to-day administrative tasks including payments, contract renewals, and other essential functions.
  • Event Management: Manage rosters for workshops, training sessions, and meetings.
  • HR System Management: Initiate and approve HR-related actions within the information system for employees.
  • Communication: Communicate effectively and efficiently with internal units.
  • Proofreading & Review: Review information for accuracy, grammar, and style.
Essential Functions:
  • Maintain electronic records for staff (contracts, performance evaluations, etc.).
  • Assist with travel arrangements for personnel and staff (flights, hotels, security).
  • Process payments to suppliers and maintain accurate financial records.
  • Coordinate logistics for in-person and virtual meetings.
  • Ensure regular, reliable attendance and consistent satisfactory job performance.
  • Follow up on report submissions to meet deadlines.
  • Perform other duties as assigned.
Qualifications:
  • Language Proficiency: Fluent in both English and Spanish (required).
  • Software Proficiency: Excellent proficiency in Microsoft Office Suite (Word, PowerPoint, etc.).
  • Adobe Pro: Good knowledge of Adobe Pro.
  • Administrative Planning: Experience establishing plans for administrative processes (meetings, reports, supplies).
  • Experience: Minimum of 5 years of general office experience.
