We're seeking a highly organized and proactive Event Coordinator to support our Global Event Manager in bringing large-scale international events to life. As a key member of our team, you'll play a vital role in executing world-class forums, conferences, and corporate gatherings, ensuring seamless logistics, vendor coordination, budgeting, and documentation.

About the Role

In this exciting opportunity, you'll have the chance to work behind the scenes to make big things happen, supporting the planning and delivery of high-profile, international events that leave a lasting impression. Your responsibilities will be varied and impactful, including vendor relations, budget tracking, calendar management, and reporting. You'll gain valuable exposure across logistics, budgeting, and international coordination, working closely with our global team to drive success.

Responsibilities:

  • Event & Logistics Support: Assist in coordinating international events, liaising with venues, vendors, and stakeholders to ensure timely and accurate delivery of services.
  • Finance & Budget Management: Track and manage event-related expenses, process invoices, and ensure financial accuracy.
  • Administrative Support: Manage calendars, schedule meetings, and coordinate travel logistics.
  • Documentation & Reporting: Prepare reports, decks, and event-related documentation, maintaining accurate records and files.
  • Internal & External Communication: Serve as a liaison between the Global Event Manager, internal teams, and external vendors, ensuring effective communication and collaboration.

Requirements:

  • 3+ years of experience in executive assistance, corporate event support, or finance-related roles.
  • Willingness and availability to travel when required.
  • Strong organizational skills and ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal abilities, especially under pressure.
  • Solid grasp of budgeting, invoicing, and expense management.
  • Proficiency in Google Suite, Microsoft Office, and general tech-savviness.
  • Fluency in English and Spanish (spoken and written).
  • Preferred: Based in EU.
