Virtual Assistant for COO | Email Coordination, Deposit Verifications, & POS Reporting (U.S. Hours) - Contract to Hire
A North America–based, fast-growing operator of 19 express car wash locations across Illinois, Georgia, and South Carolina is seeking a highly organized and accountable Virtual Assistant to support our Chief Operating Officer and corporate team with daily operational coordination and communication tasks.
We’re looking for someone who thrives in a support role, can manage multiple priorities without constant follow-up, and knows how to keep communication moving across a multi-site business.
Key Responsibilities:
• Email Monitoring & Coordination:
Check and manage several internal mailboxes daily (minimum once per day, ideally twice)
Forward or escalate inquiries to the appropriate location or corporate leader
Ensure all customer-facing and internal inquiries are acknowledged and routed promptly—no dropped balls
• Deposit Verifications (Mon–Fri):
Every Monday and Friday between 3:00 PM and 5:00 PM CST, verify cash deposit forms and attached receipts from all 19 sites
Flag any missed submissions or discrepancies to the correct team members
• Daily POS Reporting:
Access our cloud-based POS system to pull daily car counts, memberships, and sales
Summarize and send clear daily reports to the operations team
• Additional Administrative Tasks:
Centralized ordering via Amazon and other platforms
Light vendor coordination (occasional follow-up or scheduling)
Participation in scheduled check-ins or coordination meetings as needed
What We’re Looking For:
• Strong written English and professional tone
• Experience supporting executive-level roles or field operations
• Highly detail-oriented and process-driven
• Able to self-manage and stay on top of recurring responsibilities
• Technically fluent with tools like Google Workspace, shared drives, and cloud-based reporting systems
• Located in a compatible time zone (North, Central, or South America preferred)
• Must be available during U.S. Central Time business hours, especially between 3:00 PM–5:00 PM CST Monday through Friday
Hours & Commitment:
• 25–30 hours per week
• Schedule is flexible, but consistency is key—especially with email checks and weekday deposit coordination
