Applicants must currently hold an unrestricted employment authorization to work in the United States and appointment will be contingent upon completion of a background check. Minimum Qualifications: Associate's Degree and one year of full-time work experience; Bachelor's Degree and work experience in a postsecondary educational setting are preferred. Demonstrated excellent writing and mathematical skills, an ability to work independently; ability to use standard statistical report packages and information systems; experience with Banner preferred. Nature and Scope of Duties: The Administrative Assistant reports to the Senior Advisor to the President or his/her designee and performs the following duties: • Greets visitors to and provides administrative support for all offices in the Executive Suite as assigned by the Senior Advisor to the President and/or the President. • Assists with scheduling meetings and appointments for the President, the Senior Advisor to the President and Associate General Counsel. • Assists with making travel arrangements for the President and others, as assigned. • Assists with planning and details of events coordinated by the Office of the President. • May assist with events coordinated by the Office of Institutional Advancement/College Foundation; the Office of Diversity, Equity and Inclusion; and the Office of the Vice President for Student Affairs, as assigned. • Maintains supplies for the Executive Suite; completes purchase orders and pays invoices for the Office of the President. • Assists with processing of requisitions, invoices, expense reports and travel authorizations. • Performs updates and maintenance of office mailing lists and databases. • Scans files as directed for electronic data storage. • Manages and processes Tuition Reimbursement and Tuition Waiver requests. • Assists with the maintenance of the Administrative Calendar. • Maintains calendar for Guenther Board Room usage. • May assist with matters pertaining to the Board of Trustees, as assigned. • Completes reports and projects as assigned; utilizes library and web based resources to support these tasks. • Prepares communications to internal and external constituencies including written correspondence to presentations (ability to use PowerPoint preferred). • May assist with coordinating activities related to various community outreach projects and participates on committees designed to enhance the college's community engagement. • Assist in budget preparation and related document preparation. • Responds to questions concerning College policies or procedures from callers and walk-ins and directs most complex questions to appropriate offices for resolution. • Attends meetings and seminars related to area operations and records and distributes minutes of such gatherings. • Performs additional duties as assigned by the Senior Advisor to the President and/or the President.
