Job Overview

The Customer Support Coordinator (CSC) / Intake Coordinator (IC) role at blithequark is a unique hybrid position that combines customer support and data entry functionalities. As a key member of our team, you will be responsible for handling incoming customer service inquiries, researching and resolving problems, and creating and editing patient records in our database system. Your exceptional communication skills, attention to detail, and ability to work in a fast-paced environment will make you an invaluable asset to our team.

Key Responsibilities

  • Handle incoming customer service inquiries from patients, prescribers, insurance companies, external partners, or internal partners in a professional and courteous manner
  • Research and resolve problems in a timely and efficient manner, ensuring customer satisfaction and loyalty
  • Assist callers by providing clear explanations and instructions, and transfer cases to the pharmacy partner when necessary
  • Create and/or edit patient records in the database system, entering demographics, insurance information, and prescription details from incoming referrals
  • Initiate outbound telephone calls to patients to collect additional information, explain benefit investigation outcomes, or follow up on pending cases
  • Make outreach to prescribers via phone, facsimile, or mail to request additional information, provide benefit outcomes, or inform them of patient responsiveness issues
  • Attach incoming facsimile images to new or existing patient records, ensuring accurate and up-to-date information
  • Identify and escalate concerns received from patients, prescribers, partners, or insurance companies, ensuring prompt resolution and minimal disruption
  • Generate letters and brochures for patients, prescribers, or partners, providing clear and concise information on our services and benefits
  • Document the outcome of all interactions associated with the patient record into the database system, maintaining accurate and detailed records
  • Adhere to quality, production, and turnaround standards associated with the assigned program, ensuring exceptional performance and customer satisfaction

Requirements and Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • High school diploma or equivalent
  • One or more years of experience in a highly skilled and fast-paced call center environment
  • Call center experience in Specialty Pharmacy, Pharmacy Benefit Management (PBM), Commercial Insurance, or Patient Assistance Programs preferred, but not required
  • Knowledge of medical terminology preferred, but not required
  • Detail-oriented, with good analytical skills, verbal and written communication skills, and the ability to communicate with others at all levels
  • Ability to multi-task, independently prioritize, and meet deadlines in a high call volume environment
  • Excellent interpersonal and customer service skills, with a focus on customer satisfaction
  • Ability and initiative to work independently or as a team member
  • Ability to problem-solve and think critically
  • Committed to high standards and accountability
  • Ability to type at least 35 words per minute
  • Ability to adapt to a dynamic work environment and learn quickly
  • General computer knowledge, including proficiency in Microsoft Office applications, required

Preferred Qualifications

While not essential, the following qualifications are highly desirable:

  • Experience working in a healthcare or pharmaceutical environment
  • Knowledge of medical terminology and healthcare regulations
  • Experience with database management systems and data entry software
  • Certification in customer service or a related field
