As a Remote Patient Services Representative supporting multiple outpatient pediatric and rehabilitation clinics, you will serve as the welcoming voice and organizational backbone of the patient experience. Your primary mission is to ensure seamless, courteous, and efficient interactions for patients, families, and visitors—whether they are scheduling appointments, making payments, or seeking guidance on clinical processes. This resource role is essential for maintaining high standards of service across a dispersed network of clinics, helping to drive patient satisfaction, operational excellence, and overall health outcomes.

Key Responsibilities – What You’ll Do Every Day

  • Front‑Desk Concierge Services: Greet patients and visitors virtually, answer inquiries, collect co‑payments, and provide clear, empathetic communication.
  • Telephone & Switchboard Management: Answer inbound calls, route them to appropriate clinical teams, and manage outbound reminders for appointments, recalls, and follow‑ups.
  • Scheduling & Coordination: Book, confirm, and reschedule routine and urgent patient appointments using the EPIC scheduling module, ensuring optimal clinic flow.
  • Patient Registration & Check‑In: Verify demographic and insurance information, assist patients with kiosk registration, and update records accurately in the Electronic Health Record (EHR) system.
  • Check‑Out & Follow‑Up: Process patient check‑out, confirm future appointments, provide discharge instructions, and generate post‑visit paperwork.
  • Documentation & Record‑Keeping: Enter relevant call notes into the EHR, scan and upload RightFax documents, and maintain compliance with privacy and security standards.
  • Administrative Support: Order clinic supplies, generate daily reports, produce no‑show and recall letters, and manage incoming/outgoing mail.
  • Safety & Quality Initiatives: Participate in unit safety programs, complete competency training, and support risk mitigation efforts to protect patients and staff.
  • Team Collaboration: Work closely with nursing, clinical, and administrative teams to resolve issues promptly and enhance the overall patient journey.

Essential Qualifications – Your Foundations for Success

  • Education: High School Diploma or equivalent; additional coursework in health administration or related fields is a plus.
  • Technical Proficiency: Comfortable navigating electronic health records (preferably EPIC), basic computer applications (Microsoft Office Suite), and online scheduling platforms.
  • Communication Skills: Clear, professional oral and written communication; ability to convey complex information in an understandable manner.
  • Customer Service Orientation: Demonstrated empathy, patience, and a genuine desire to help patients and families feel heard and valued.
  • Attention to Detail: Accurate data entry, meticulous handling of confidential information, and adherence to documentation standards.
  • Organizational Ability: Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast‑paced, remote environment.
  • Reliability & Attendance: Consistent punctuality and a strong work ethic, especially important for a role that supports clinics during core business hours.

Preferred Qualifications – What Will Set You Apart

  • Previous experience in a medical reception, patient services, or health‑care call centre setting.
  • Familiarity with insurance verification processes and billing basics.
  • Certification in medical office administration (e.g., CMA, RMA) or ongoing pursuit of such credentials.
  • Experience working remotely, including proven self‑management and virtual collaboration skills.
  • Multilingual abilities, especially in Spanish, to better serve diverse patient populations.

Core Competencies & Skills for High Performance

  • Empathy & Compassion: Ability to put yourself in the patient’s shoes and respond with kindness.
  • Problem‑Solving: Quick identification of issues and proactive resolution without escalating to higher tiers unnecessarily.
