Job Summary

The PRN Intake Data Entry Specialist will play a critical role in our intake process, ensuring that referrals are processed efficiently and effectively. This position will collaborate with our intake RNs/LPNs to disposition referrals, communicate information according to department policies and procedures, and maintain high customer service standards. The ideal candidate will have excellent communication skills, be highly organized, and possess the ability to work effectively in a fast-paced environment.

Key Responsibilities

  • Enter referrals as they are called or arrive in the office, collaborating with intake RNs/LPNs for disposition of referrals
  • Communicate information according to department policies and procedures, answering phones as necessary to maintain customer service standards
  • Organize and perform work effectively and efficiently, maintaining and adjusting schedule to enhance department performance
  • Maintain and promote customer loyalty, demonstrating the mission, vision, and values of blithequark on a daily basis
  • Process referrals as they are called or arrive in the office, reviewing incoming referrals and accurately creating electronic files in HCHB within established time frames
  • Coordinate with liaisons, intake staff, and referral sources when missing or incomplete information is received
  • Key large volumes of highly complex statistical data into the computer with speed and accuracy, monitoring all pending weekend and holiday admission/readmission referrals to determine if packet is complete and episode is started

Quality of Work

The PRN Intake Data Entry Specialist will be responsible for maintaining high-quality work standards, including:

  • Processing referrals as they are called or arrive in the office, collaborating with intake RNs for disposition of referrals
  • Communicating information according to agency policies and procedures, taking phone calls from referral sources or patients/families when the primary nurse is not available
  • Facilitating clarification of information from physicians and/or referral sources, communicating ideas for improving the referral process to the Intake Manager and following up as appropriate

Productivity and Use of Time

The PRN Intake Data Entry Specialist will be responsible for organizing and performing work effectively and efficiently, including:

  • Daily maintenance of Forcura documenting on all pending referrals
  • Referrals are processed into an EMR
  • Maintaining zero complaints from the community on timeliness of answering phones for the intake team
  • Reporting to work on time and returning promptly from errands, breaks, and meals
  • Managing personal work schedule and time off to promote smooth agency operations

Essential Qualifications

To be considered for this position, candidates must have:

  • High School Diploma or equivalent, with secondary education preferred
  • At least two years of computer experience, preferably in the field of healthcare
  • Prior experience in customer service/physician relations preferred
  • Experience with medical insurance verification required
  • Excellent communication skills, with the ability to develop and maintain working relationships with patients, staff, and the public
  • Effective listening skills and the ability to deal effectively in stressful situations
  • Ability to sit/stand for extended periods, stoop, bend, sit, and operate office equipment
  • Visual acuity, touch, hearing, and speaking abilities

Preferred Qualifications

Preferred candidates will have:

  • Secondary education or higher
  • Experience working in a healthcare setting
  • Knowledge of medical terminology and healthcare regulations
  • Experience with electronic medical records (EMRs) and other healthcare software
