Key Responsibilities

  • Interact with internal and external customers to handle pre-sales and post-sales service functions related to domestic and international order processing, ensuring high levels of customer satisfaction.
  • Process orders for materials, both domestically and internationally, in accordance with blithequark's policies and practices, maintaining accuracy and efficiency.
  • Coordinate and perform activities such as order entry, order acknowledgement, order revision, and preparation of shipping documents, utilizing business tools like Microsoft Word, Excel, and PowerPoint.
  • Receive customer requests and prepare documents related to processing returns (RMA), servicing, and exchanges, ensuring timely resolution of customer inquiries.
  • Update databases with the status of returned materials and account for returns inventory, maintaining meticulous records and reports.
  • Record and report the status of equipment returns, repairs, replacements, sales orders, and delivery schedules, providing critical insights for operational improvements.
  • Ensure service information is accessible by sorting and filing documents/forms, and handle requests for additional company materials, contributing to a well-organized and efficient work environment.
  • Maintain records of returns, schedule changes, product enhancements or changes, and product pricing, resolving return credit problems promptly and professionally.
  • Coordinate activities associated with the transfer of consigned material and order tracking and customs clearance, working closely with transportation carriers and brokers.

Essential and Preferred Qualifications

To excel in this role, you will need:

  • Direct customer support experience, including administrative experience, with a proven track record of providing exceptional service.
  • Order processing experience or an equivalent combination of formal training in logistics, data processing, marketing, international business, finance, and accounting, or related office and business education.
  • Proficiency in utilizing business tools such as E-mail, Microsoft Word, Excel, and PowerPoint, with the ability to learn and adapt to new software and systems.
  • Experience with HCM (e.g., Workday), SAP, Salesforce, or equivalent ERP products and productivity software is highly desirable, although not mandatory.
  • A typical background for this role would include an Associate degree or equivalent, coupled with 1 - 3 years of related experience in data entry, order processing, or a similar field.
