We are a family-owned business that focuses on helping homeowners find solutions whether they are going through a foreclosure, cannot sell their property, or just need to sell their house for all kinds of reasons. Job Summary We are seeking a highly organized, detail-oriented Transaction Coordinator to manage our real estate transactions from contract to close while also providing part-time executive support to the CEO. This role is primarily focused on ensuring smooth, compliant, and timely closings, with additional responsibility for keeping the CEO organized, prepared, and focused on top priorities. The ideal candidate communicates confidently with sellers, buyers, title companies, and lenders, and takes full ownership of every file. In addition to transaction management, this person will assist with calendar coordination, inbox management, meeting preparation, and process improvement to help the CEO operate efficiently and strategically. Role (Overview of the Position) Requires solid computer and research skills, flexibility, excellent interpersonal abilities and project coordination experience. Provide high-level administrative support and have the ability to work well with all levels of internal management and staff, outside clients and vendors. Sensitivity to confidential information is also required. Responsibilities (Tasks Associated with the Role) Transactions • Work closely with sellers, buyers, and title agents to coordinate all real estate transactions from beginning to end • Manage all documentation of each transaction • Initiate and review title searches with title companies • Ability to use CRM (Sales Force) daily to update files and stay on task until deals are closed • Schedule photos, inspections and any other walk throughs, meetings, and or appointments with sellers, buyers, title agents, mobile notaries, property runners, etc. • Assist in negotiating/overcoming property liens and other title roadblocks • Communicate and maintain rapport with the sellers, buyers and title agents • Coordinate all lending docs required for closings Executive Assistant • Maintain Calendar and Scheduling for CEO - Gatekeeper • Manage Email Inbox for CEO • Drive process creation for key CEO / EA processes • Lead Special Projects • Helping CEO Prepare for Meetings • Proactively Evaluate and Manage the needs of the CEO • Manage Travel that makes it low resistance and lightweight for the CEO • Helping the CEO stay on his important habits and tasks • Ensuring the CEO is working on the most important priorities at all times w/ a clear schedule to accomplish them. • Helping CEO identify opportunities to delegate things to other team members proactively • Accompany CEO on key meetings and occasionally be in place of CEO on meetings • Other Duties Lined out as needed by CEO Results (Expected Accomplishments) • Keeping a seamless and organized schedule for the CEO • Maintain 24 hour response time or less for all emails asking for CEO reply • Ensure 100% of meetings on the CEO's schedule have agendas (Outcome, Agenda, Output, who on call, etc.) • Strive for 100% no conflicts on calendar and all resolved at least 48 hours prior (including personal events) • Ensure consistent cadence for weekly communication Requirements (Expected Proficiencies) • Great at working with a team • Experience supporting a high-level executive. • Possession of exceptional organizational skills and a strong attention to detail • Superior written and verbal communication skills. • Able to maintain a high degree of confidentiality in all situations • Proficient in Apple products and google • Ability to organize a priority based daily workload • Able to meet deadlines in a fast-paced, quickly changing environment • Proactive approach to problem-solving with strong decision-making skills Job Type: Full-time Pay: $45,000.00 - $50,000.00 per year Benefits: • Paid time off Application Question(s): • Why are you interested in working directly with a fast-growing real estate investment company, and why do you believe you’d thrive in this role?
