Role Overview: Pharmacy Data Entry Supervisor (Louisville, KY)

We are seeking a dynamic, detail‑oriented, and inspirational leader to head our Pharmacy Data Entry team in Louisville, Kentucky. This senior supervisory position is responsible for overseeing the end‑to‑end data entry workflow, guaranteeing compliance with regulatory standards, and fostering a high‑performance culture. Key Responsibilities

  • Team Leadership & Performance Management – Recruit, interview, onboard, and train new data entry staff; conduct regular performance reviews, coaching sessions, and corrective action plans.
  • Operational Oversight – Supervise daily workflow, ensuring that prescription entries are completed accurately, efficiently, and within agreed Service Level Agreements (SLAs).
  • Liaison & Collaboration – Partner with pharmacy program leads, IT, and quality assurance to align staffing levels with volume trends, client priorities, and regulatory requirements.
  • Quality Assurance – Conduct routine audits of SOP compliance, monitor Key Performance Indicators (KPIs), and implement corrective actions when variance is detected.
  • Process Improvement – Identify bottlenecks, propose automation or workflow enhancements, and lead cross‑functional projects that streamline data entry processes.
  • Reporting & Analytics – Generate and analyze operational reports, presenting insights to senior management to support strategic decision‑making.
  • Attendance & Time Management – Approve weekly timecards, manage PTO requests, and ensure consistent coverage across all shifts.
  • Regulatory Compliance – Uphold HIPAA, PDMA, and cGMP standards; ensure all team members maintain required certifications and licensure.
  • Customer Service Excellence – Oversee interactions with patients, physicians, and other stakeholders, guaranteeing high‑quality service while protecting patient confidentiality.
  • Continuous Learning – Facilitate ongoing competency training, keep the team updated on new pharmacy products, software updates, and policy changes.
  • Cross‑Team Support – Collaborate with other supervisors and the broader operations team to support Custom Pharmacy Solutions and enhance overall client satisfaction.

Minimum Qualifications

  • Bachelor’s degree in Pharmacy, Health Sciences, Business Administration, or a related field; or an equivalent combination of education and experience.
  • Three (3) or more years of hands‑on experience in pharmacy operations, managed care, Medicaid/Medicare programs, pharmaceutical or biotech manufacturing, or a related healthcare setting.
  • At least two (2) years of supervisory experience, preferably in a call‑center or high‑volume service environment, with a track record of meeting quality and productivity targets.
  • Active Kentucky Board of Pharmacy technician license in good standing.
  • Commitment to complete “technician in training” requirements approved by the Indiana Board of Pharmacy within one year of hire (if currently unlicensed).
  • Familiarity with medical terminology, sig codes, Roman numerals, and both generic and brand medication names.
  • Demonstrated experience with HIPAA, PDMA, and cGMP guidelines.

Preferred Qualifications & Certifications

  • Certification through the Pharmacy Technician Certification Board (PTCB) or another recognized agency.
  • Experience navigating insurance procedures, drug reimbursement processes, and claims adjudication.
  • Advanced knowledge of pharmacy dispensing systems, electronic health records (EHR), and data‑entry platforms.
  • Previous exposure to process‑automation tools (e.g., robotic dispensing, OCR software) that improve data‑capture accuracy.
