Marketing & Events Coordinator
Ronald McDonald House Central Valley is seeking a Marketing & Events Coordinator to manage event logistics and marketing operations. The role involves coordinating donor relations, managing databases, and supporting major fundraising events.
Responsibilities
- Help manage the donor database Raiser's Edge, logging donations on a daily basis and preparing Record of Donations (R.O.D.), coordinating donations with the Finance Team, and routing to the appropriate staff. Manage event database Greater Giving, input all event information including sponsors, attendees, auction items, and more
- Create and send thank you letters to event donors and sponsors
- Assist in coordination and planning of major events including but not limited to: FORE! THE HOUSE Golf Tournament: Fresno, FORE! The House Golf Tournament: Visalia, From Our House to Yours Telethon and Red Heart Ball; all third-party fundraisers. This may include assistance with written correspondence; flyer development, creation and distribution; letter writing; and graphics design of various materials
- Serve as the primary point of contact for contracted vendors, maintaining consistent communication before and throughout events. Help secure vendor bids for event services including, but not limited to, venue, catering, lighting/sound and entertainment
- Update and manage event guest lists, and event solicitation database, including making phone calls to follow up on donation requests
- Help manage event budgets, monitor pre- and post-event reports, and track performance and expenses
- Coordinate with the Volunteer Services Coordinator to communicate event volunteer needs and help secure support, while also participating in outreach efforts such as recurring giving and community events as directed
- Receive and secure money gifted at events and third-party fundraisers and turn in to the Director of Marketing and Events at the end of the event. Money may including cash, check, or credit card information
- Assist, as directed, with creating, managing, and scheduling social media content for RMHC across Facebook, Instagram, and Twitter
- Assist in researching new grant opportunities and supporting the writing of grant proposals
- Assist in the daily enforcement of House rules, policies, and procedures with guests
- Consistently adhere to established standards to ensure client confidentiality as required by HIPAA and other healthcare regulations and guidelines. Follow established safety policies and procedures and adhere to the policies and procedures outlined in the employee handbook
- As a brand ambassador in the community, consistently represent the organization in a positive and professional manner to the public at large in order to help generate financial support. Develop and maintain good relations with local media partners in television, radio, newspaper, and elsewhere to generate public exposure
- Attend and actively participate in required meetings, including quarterly House Department meetings and group discussions
- Maintain professional hygiene and appearance to promote a positive image of RMHC, a professional example to staff, and instill client trust
- Assist with other duties as assigned or as related to the overall management of all RMHC Development and Communications activities
Skills
- A high school diploma or equivalent is required
- A bachelor's degree or equivalent in Marketing, Business Administration, Public Relations, Communications, or related field is required
- A minimum of one to three years of experience and/or training in marketing, communications, or administrative support is required
- Knowledge of Microsoft Office programs Word, Excel, and PowerPoint is required
- Knowledge of other data management systems including Raiser's Edge is required
- Excellent written and verbal communication skills are required
- Excellent event/logistical management and project planning skills are required
- The ability to handle cash in a prudent and trustworthy manner is required
- The ability to apply analytical thinking to a donor database is required
- The ability to manage multiple projects simultaneously under tight deadlines
- The ability to work within and support a dynamic team is required
- The ability to work independently, within guidelines, as well as coordinate and collaborate with others is required
- The ability to handle emotional situations and be sensitive to individuals and families that are struggling with hardships
- A minimum of one to three years of experience and/or training in entering, compiling, and summarizing data is preferred
- Experience with gift entry and donor database systems (Blackbaud Raiser's Edge, Greater Giving, CRM, QuickBooks) is preferred
- Experience in batching, depositing, reconciling, and balancing with financial reports is preferred
- Knowledge of marketing and public relations and social media is preferred
- Knowledge of photography/videography skills for capturing content is preferred
