Position Overview: Accounts Payable Specialist

We are currently seeking a dedicated and detail-oriented Accounts Payable Specialist to manage our vendor invoicing, payment processing, and financial reconciliation activities. This role is essential to maintaining our vendor relationships and ensuring the financial health of our organization.

The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional organizational skills, and possess a solid understanding of accounting principles. You'll work closely with the Accounts Payable Manager, Senior Accountants, Controllers, and Assistant Controllers, as well as collaborate with department managers across the organization to resolve invoicing issues and purchase order inquiries.

Key Responsibilities

  • Invoice Processing & Entry: Enter vendor invoices accurately and timely into our SAP financial system, ensuring all data is captured correctly for processing and payment.
  • Email Management: Monitor the AP email inbox to download incoming vendor invoices and respond promptly to vendor inquiries regarding payment status and invoice details.
  • Report Analysis: Conduct bi-weekly reviews of various SAP reports, including GRIR (Goods Receipt Invoice Receipt) and MRBR (Matched but Not Billed Report), to ensure invoices are processed timely and accurately.
  • Tax Compliance (1099 Reporting): Prepare and manage 1099 tax reporting, ensuring all vendors have current and accurate tax identification information and W-9 forms on file in compliance with IRS regulations.
  • Vendor Communication: Collaborate with external vendors in a professional and efficient manner to follow up on payment inquiries, invoice discrepancies, and billing information.
  • Receipt Entry: Perform receipt entry tasks with a target allocation of approximately 60% of daily workload.
  • Vendor Support: Provide exceptional vendor support, addressing concerns and resolving issues promptly—approximately 30% of daily activities.
  • Special Projects: Assist with ongoing projects and special initiatives as assigned—approximately 10% of workload.
  • Account Reconciliation: Review invoice aging reports to identify and address payment delays or discrepancies.
  • General Ledger Coding: Ensure accurate general ledger coding for all transactions to maintain proper financial records.
  • Purchase Order Matching: Verify accurate matching of purchase orders to invoices, resolving any discrepancies before payment processing.
  • Stakeholder Collaboration: Deliver outstanding customer service to all internal and external stakeholders, fostering positive relationships across the organization.

Essential Qualifications & Requirements

  • Education: Bachelor's degree required, preferably in Accounting, Finance, or a related business discipline.
  • Experience: 0-2 years of relevant work experience in accounts payable or financial processing.
  • Industry Background: Previous experience in accounts payable within a wholesale distribution environment is strongly preferred.
  • Technical Skills: Proficiency in Microsoft Office applications, particularly Excel, with demonstrated ability to create spreadsheets for tracking vendor activity and financial reporting.
  • ERP Experience: SAP experience is preferred but not required; willingness to learn our financial systems is essential.
  • Time Management: Ability to handle a high-speed, high-volume transaction environment while maintaining accuracy.
  • Attention to Detail: Strong commitment to precision and accuracy in all financial documentation.
  • Analytical Thinking: Proven ability to identify discrepancies and implement effective solutions.
  • Communication Skills: Excellent written and verbal communication skills for interacting with vendors and internal stakeholders.
  • Work Ethic: Self-motivated with a strong desire to meet deadlines and complete projects successfully.

Work Schedule & Location
