Position Overview

We are currently accepting applications for a full-time Customer Service Specialist I position. This is a remote opportunity, allowing you to work from your home office while living in Texas, Florida, or Illinois. The ideal candidate will be bilingual in Spanish, though this is highly preferred rather than required. Training and Schedule Details

  • Training Class Start Date: April 8th, with 6 weeks of comprehensive training
  • Training Hours: Monday - Friday, 8:00 AM - 5:00 PM CST
  • Regular Shift: Monday - Friday, 10:00 AM - 7:00 PM CST
  • On-Call Requirements: Rotational on-call support required outside of regular business hours
  • Employment Type: Full-time position

What You'll Be Doing

As a Customer Service Specialist I at arenaflex, you will play a pivotal role in maintaining and strengthening our relationships with customers across the pharmaceutical distribution network. Your daily responsibilities will encompass a wide range of customer-facing activities designed to ensure satisfaction, resolve issues, and promote our comprehensive suite of products and services.

Key Responsibilities

  • Proactive Customer Outreach: Initiate monthly service calls to a designated portfolio of low-volume accounts within your assigned geographic area. This proactive approach allows you to build lasting relationships and ensure our customers feel valued and supported.
  • Customer Updates and Education: Keep existing customers informed about new programs, promotional activities, products, and services. Serve as a trusted resource for answering inquiries and addressing any current issues or unresolved problems they may be experiencing.
  • Issue Resolution: Assist customers with common challenges including missed shipments, price adjustments, and backorder concerns. You'll continuously strive for prompt and satisfactory resolutions that leave customers confident in choosing arenaflex.
  • Cross-Functional Collaboration: Work closely with field sales associates to coordinate special orders, accept quotations, and communicate with manufacturers. Partner with warehouse associates to ensure smooth order processing and fulfillment.
  • Order Processing: Process all phone, fax, mail, email, and verbal orders from customers with accuracy and efficiency. Ensure each order is entered correctly and tracked appropriately in our inventory management system.
  • Information and Support: Provide customers with accurate answers to questions and complaints regarding products and services. When an issue exceeds your scope, professionally and courteously escalate customers to the Customer Service Supervisor.
  • Data Entry and Research: Perform data entry for order processing, access previous orders and special orders, and provide customers with current pricing information. Research inquiries as requested and maintain detailed records of all customer interactions.
  • Backorder Management: Assist customers with backorders by offering substitutions and alternatives whenever possible. Contact manufacturers for delivery information, changes in stock numbers, prices, and availability. Maintain current open order reports to keep customers informed.
  • Departmental Communication: Serve as a liaison between customers and field sales associates, communicating effectively with all departments within the Distribution Center to ensure seamless service delivery.
  • Continuous Improvement: Make suggestions and recommendations to your Supervisor in an effort to continually improve customer service operations and contribute to our culture of excellence.
  • Compliance and Safety: Comply with all appropriate policies, procedures, safety rules, and regulations governing pharmaceutical distribution operations.

What We're Looking For

Education and Experience Requirements

This position requires broad training in fields such as business administration, accountancy, sales, marketing, computer sciences, or similar vocations. The ideal candidate will have typically obtained this through completion of a four-year Bachelor's Degree program, technical vocational training, or an equivalent combination of experience and education. Normally, this role requires less than one (1) year of directly related experience, making it an excellent entry point into the pharmaceutical distribution industry.

  • Product Knowledge: Familiarity with arenaflex products, services, and pharmaceutical distribution operations. You'll develop this knowledge through our comprehensive training program.
  • Organizational Skills: Strong organizational skills with exceptional attention to detail. Accuracy is critical in this role.
  • Technical Proficiency: Basic knowledge of Microsoft Word, Excel, and inventory management systems. Comfort with technology and willingness to learn new systems is essential.

Preferred Qualifications

  • Bilingual proficiency in Spanish (highly preferred)
  • Previous experience in customer service, pharmaceutical, or healthcare-related industries
  • Familiarity with pharmaceutical distribution processes and terminology
  • Experience with CRM systems and order management software
