**Job Summary:**
We're seeking a highly skilled and customer-focused individual to join our team as an Experienced Customer Service Representative – Account Management Support. In this role, you'll work closely with our Account Managers and Senior Account Managers to ensure seamless customer interactions, efficient order processing, and exceptional service delivery. **Key Responsibilities:**
* Enter orders with complete job specifications into our core business system, ensuring accuracy and attention to detail.
* Process and prepare shipping and mailing instructions, ensuring timely and efficient delivery.
* Process and route all proofs and materials supplied by customers, maintaining a high level of quality and attention to detail.
* Assist with processing change orders, gathering information for Account Managers or Senior Account Managers, and creating and maintaining customer standing instructions and profiles.
* Assist with entering specifications for Estimating, ensuring accurate and timely completion of customer requests.
* Provide exceptional customer service by answering or resolving customers' questions or concerns, rather than simply taking a message for the Account Manager.
* Assist in processing customer complaints, maintaining a high level of professionalism and empathy.
* Maintain an accurate and timely filing system of sample books/issues and master job files, ensuring easy access and retrieval of customer information.
* Take initiative to assist other teams when needed or low on work, demonstrating a willingness to learn and adapt to new situations.
* Provide desk coverage for the Account Manager and manage their duties when they are out of office, ensuring seamless continuity of service.
* Perform other duties as assigned, including but not limited to, miscellaneous errands and special projects at the request of Account Managers or Senior Account Managers.
**Essential Qualifications:**
* Minimum high school diploma or GED, along with some customer service experience.
* Excellent verbal and written communication skills, with the ability to effectively interact with customers, colleagues, and management.
* Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously.
* Strong analytical and problem-solving skills, with the ability to think critically and resolve customer complaints in a professional and timely manner.
* Ability to act with integrity, professionalism, and confidentiality, maintaining the trust and confidence of our customers and colleagues.
* Must possess a capacity and willingness to learn a variety of computer software applications, including but not limited to, order entry and job ticket systems.
* Proficient with Microsoft Office Suite or related software, with the ability to learn and adapt to new systems and technologies.
**Desired Skills and Abilities:**
* Associate's degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience is preferred.
* Familiarity with arenaflex's Technique Operating System, with the ability to learn and adapt to new systems and technologies.
* Strong customer service skills, with the ability to provide exceptional service and support to our valued customers.
* Ability to work in a fast-paced environment, with the ability to prioritize tasks and manage multiple projects simultaneously.
* Strong communication and interpersonal skills, with the ability to effectively interact with customers, colleagues, and management.
**Physical Requirements:**
* Prolonged periods of sitting at a desk and working on a computer, with the ability to take regular breaks and maintain a healthy work-life balance.
* Must be able to lift 15 pounds at times, with the ability to move around the office and access different departments.
* Must be able to access and navigate each department at arenaflex's facilities, with the ability to move around the office and interact with colleagues.
**Travel Requirements:**
* Minimal travel for seminars, company meetings, etc., with the ability to travel occasionally for training and professional development.
* May require occasional overnight stay, with the ability to plan and prepare for travel in advance.
