&Built is seeking a full-time Facilities Coordinator for our Nashville, TN office. The Facilities Coordinator sits within Built's Operations team, supporting the overall workplace experience and helping ensure a smooth, functional, and welcoming environment for employees and visitors alike. You'll work cross-functionally with key stakeholders across People, IT, and Workplace Experience, playing a vital role in keeping our day-to-day operations running efficiently. You'll be responsible for managing vendors, tracking supply needs, coordinating maintenance and deliveries, and ensuring the office is running smoothly. We're looking for a resourceful and highly organized individual to oversee the day-to-day operations of Built's headquarters.This is a hands-on role with high visibility across the company. You'll be instrumental in creating a workspace that reflects Built's culture and keeps things humming behind the scenes. This role is an important part of the engine that powers our in-office culture and operational excellence. - Serve as the primary point of contact for all office vendors and service providers, including janitorial, pest control, HVAC, recycling, and secure waste disposal
- Monitor office supplies and consumables for restrooms, kitchens, coffee bars, and meeting rooms-place timely orders through Amazon, Instacart, or vendor portals
- Manage vendor service schedules and access, including coordinating building entry for vendors without badges
- Support workplace logistics including badge creation, mail sorting, office nameplates, and internal event prep
- Coordinate weekly and monthly food programs and beverage services
- Track recurring orders and contracts, escalate vendor issues, and maintain vendor contact records
- Monitor the facilities Jira queue, assign requests, and communicate updates to employees
- Assist with shipping, receiving, and mail distribution for HQ and executive offices
- Serve as backup support for ad hoc operational needs and projects related to space, supplies, and employee experience
- Partner with other teams on projects like event planning, space reconfigurations, or team onboarding
- Experience coordinating office operations or facilities logistics in a corporate environment
- Ability to manage vendors, contracts, and recurring services across multiple categories
- Proficiency with tools such as Google Workspace, Jira, and online ordering systems (Amazon, Instacart)
- Strong organizational and time management skills-able to juggle daily, weekly, and monthly tasks effectively
- Ability to be onsite 5 days a week
- Proactive and detail-oriented-you anticipate needs before they arise
