Executive Assistant (AI and Technology focused)
We are seeking a proactive, tech-savvy Executive Assistant to support our CEO with a broad range of executive-level administrative tasks, while also playing a key role in identifying, implementing, and managing AI and technology-driven solutions to streamline internal processes and increase operational efficiency. Key Responsibilities:
• Provide daily executive support including calendar management, travel coordination, meeting preparation, expense reporting, and communications.
• Serve as a thought partner to the CEO on internal workflows, offering tech-forward solutions to improve productivity.
• Research and recommend AI tools, automation platforms, and other technologies that can improve business operations and administrative efficiency.
• Lead or assist in the rollout of new systems and tools (e.g., AI-powered scheduling assistants, automation platforms, CRM enhancements).
• Create and maintain SOPs, workflows, and documentation related to implemented technologies.
• Help manage special projects on behalf of the CEO, especially those related to process improvement and digital transformation.
• Coordinate with department heads to identify friction points and present potential tech-driven solutions.
• Track project progress, gather feedback, and report outcomes to the CEO.
• Maintain confidentiality and discretion with sensitive company and personal information.
Qualifications:
• 3+ years of experience as an Executive Assistant or in a similar administrative support role.
• Strong interest and/or experience in AI, automation, or digital process improvement.
• Proficient with modern productivity tools (Google Workspace, Slack, Notion, Trello, Zoom, etc.).
• Familiarity with or ability to quickly learn platforms such as Zapier, ChatGPT, Calendly, CRM systems, or project management tools.
• Excellent communication, organization, and problem-solving skills.
• Ability to manage competing priorities in a fast-paced, dynamic environment.
• High level of discretion and professionalism.
Preferred:
• Experience implementing new software or tech tools in a business setting.
• Background in operations, project management, or digital transformation.
• Basic understanding of AI capabilities and limitations in a business context.
