Why does this role exist?This role exists to free clinicians from documentation burden so they can focus on hands-on patient care. By providing real-time scribing and accurate EHR entries, the EA–Medical Scribe ensures records are complete, compliant, and billing-ready. The position supports clinic efficiency, improves care continuity, and shortens turnaround time for charts, letters, and insurance-related documentation.
The Impact you’ll make
Real-time EHR Documentation
• Accurately document patient encounters directly into the EHR during or immediately after visits
• Capture relevant history, objective findings, assessments, treatment plans, and outcomes in clear, structured notes
• Use clinic templates and standards to ensure notes are billable, compliant, and ready for provider sign-off
Clinical Correspondence & Records
• Prepare and edit patient notes, visit summaries, progress reports, and letters to referring physicians
• Maintain consistency of records across encounters and ensure timely chart updates
• Organize and track outstanding documentation for provider review
Billing & Insurance Support
• Assist with documentation needed for medical necessity, insurance authorization, and claims support
• Enter or verify coding-related details (ICD/CPT as directed) and resolve documentation gaps that impact billing
• Coordinate with admin staff to ensure clean claims and reduce rework
Data Quality, Timeliness & Compliance
• Perform accuracy checks for patient identifiers, visit details, and plan of care before submission
• Adhere to HIPAA and clinic privacy/security protocols at all times
• Meet same-day or agreed-upon turnaround times for chart completion
Collaboration & Communication
• Communicate clearly with U.S.-based providers and admin teams during working hours
• Flag urgent issues, clarify missing information, and respond promptly to requests
• Support end-of-day reconciliations and carry-forward tasks to keep workflows current
Skills, Knowledge and Expertise
Required:
• Proven experience as a medical scribe, medical virtual assistant, or healthcare documentation specialist
• Strong written and spoken English communication skills
• Typing speed of at least 45 WPM with high accuracy
• Working knowledge of basic medical terminology (healthcare/clinical context)
• Proficiency with EHR documentation and Microsoft Office (Word, Excel, Outlook), with strict adherence to HIPAA
• Can commit to working 40 hrs/week, Monday–Friday, 11:00 a.m.–8:00 p.m. Eastern Time
• WFH Set-Up:
• Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
• Internet speed of at least 40MBPS
• Headset with an extended mic that has noise cancellation and a webcam
• Back-up computer and internet connection
• Quiet, dedicated workspace at home
