Job Overview

We are seeking a highly skilled and dynamic Executive Assistant to support our US CEO and COO, working remotely from the Eastern Standard Time Zone. As a key member of our team, you will provide administrative support, ensuring the seamless execution of daily operations, special projects, and strategic initiatives. Key Responsibilities

  • Monitor and manage emails, prioritizing, escalating, and composing draft responses to ensure timely and effective communication.
  • Track and monitor open actions, detailing accountability and deadlines, and follow up as necessary to drive progress and results.
  • Manage complex calendars, coordinating meetings and travel arrangements across multiple time zones, while demonstrating knowledge of preferred meeting cadence and travel preferences.
  • Coordinate and schedule meetings for the Executive team, occasionally requiring travel to facilitate face-to-face interactions and collaboration.
  • Oversee and manage special projects, meetings, and events for the Executive team, ensuring meticulous attention to detail and flawless execution.
  • Organize, compile, and distribute reports from the Americas businesses, providing valuable insights and data-driven recommendations to inform strategic decision-making.
  • Compile expense reports and preapproved/preauthorized expense reporting for direct reports, maintaining accurate and transparent financial records.
  • Arrange travel arrangements within established preferences, ensuring a seamless and efficient experience for our Executives.

Essential Qualifications

To succeed in this role, you will possess:

  • A minimum of 10+ years of extensive administrative experience, with 3-5 years of experience as an Executive Assistant supporting high-level C-suite executives.
  • A high level of integrity and discretion in handling confidential information, demonstrating unwavering professionalism and trustworthiness.
  • Excellent verbal and written communication skills, representing the Executives and the company with poise, clarity, and precision.
  • Proficiency in Microsoft Outlook, PowerPoint, Excel, Teams, and Salesforce, with a willingness to learn and adapt to new technology applications.
  • The ability to work quickly, respond with a sense of urgency, and continually adapt to changing priorities and focus on the most critical tasks.
  • A thorough understanding of Executives' preferences, priorities, and goals, enabling informed and effective decision-making.

Preferred Qualifications

While not essential, the following qualifications are highly desirable:

  • Experience working in a fast-paced, dynamic environment, with a proven track record of delivering results under pressure.
  • Familiarity with the insurance industry, or a related field, with a deep understanding of the complexities and challenges faced by our clients.
  • A certification in administrative assistance, such as the Certified Administrative Professional (CAP) or the Certified Executive Administrative Professional (CEAP), demonstrating a commitment to ongoing learning and professional development.
