Pay Rate: $30/hr on W2
About the Role
The Admin Specialist Program (ASP) is a scaled administrative team supporting core areas of admin work — calendar, expense, and travel management — at a ratio of up to 6:1 (leaders per specialist). This program enables leaders to focus on high-impact work by delegating administrative responsibilities to skilled specialists.
This is a temporary, fully remote contract position with a structured work schedule aligned to the specialist’s local time zone.
Key Responsibilities
• Provide remote, high-volume, complex calendar, travel, and expense support for multiple leaders.
• Learn and utilize both internal and external tools to manage calendars effectively.
• Communicate proactively with leaders to understand business priorities and tailor support accordingly.
• Collaborate with other Administrative Assistants for meeting coordination and logistical planning.
• Offer time management recommendations to optimize leader efficiency.
• Provide short-term coverage for teammates if bandwidth allows.
Basic Qualifications
• 2+ years of experience providing administrative support to two or more executives.
• 2+ years managing calendars, travel, and expenses for multiple leaders.
• Proven ability to prioritize multiple tasks and activities.
• Proficient with Microsoft Office (Word, Excel, Outlook).
• Strong judgment and discretion when applying company policies and practices.
• Experience using a Customer Relationship Management (CRM) or ticketing system.
• Experience working with executives is highly preferred.
Preferred Skills
• Master multitasker with exceptional organization and communication skills.
• Proactive and solution-oriented work style.
• Familiarity with Concur (for expense management) and Outlook.
• Experience supporting multiple executives simultaneously.
• Familiarity with internal tools is a plus.
Education
• Bachelor’s degree (BA/BS) preferred.
• High school diploma or equivalent required.
Work Structure & Performance Expectations
• Work Hours: Structured and based on local time zone.
• Response Time SLA: Acknowledge all inbound client requests within 2 hours during working hours.
• Scope of Work: Specialists must operate within the program’s defined administrative support areas (calendar, travel, expense).
• Reporting: Reports to ASP Team Lead (Admin Specialist Lead – ASL).
