Senior Human Resources Coordinator Location: Austin United States Job Description: Job Posting Title: Senior Human Resources Coordinator, Jackson School of Geosciences ---- Hiring Department: John A and Katherine G Jackson School of Geosciences ---- Position Open To: All Applicants ---- Weekly Scheduled Hours: 40 ---- FLSA Status ---- Location: UT MAIN CAMPUS ---- Job Details: Purpose The Senior HR Coordinator for the Jackson School serves as the senior-level processing and coordination expert for complex, high-volume human resources transactions. This position is responsible for coordinating and executing student employment, research affiliate, fellowship, temporary hire, summer program, and visa-related processes with a high degree of accuracy, compliance, and accountability. As a key operational coordinator within the School, this role ensures HR processes are executed consistently, documented clearly, and aligned with university policies and regulatory requirements. The Senior HR Coordinator plays a critical role in maintaining operational continuity and delivering responsive, detail-oriented service in a dynamic academic environment. This position is based in person on the UT Austin main campus, with hybrid flexibility available for discussion at time of hire. Responsibilities Lead Student & Affiliate HR Coordination: Oversee daily HR operations related to student employment and research affiliate transactions. Partner with the HR Admin to organize and streamline processes, maintain accurate records, and deliver responsive, proactive, high-quality customer service to the Jackson School’s student population. Ensure timely approvals, process transactions efficiently, and handle sensitive and confidential information with discretion. Coordinate planning activities to support student employment needs across the School. Graduate Student Support & Financial Processing: Manage graduate student support processes, including fellowships, awards, tuition payments, and related financial transactions. Collaborate closely with the Graduate Program Administrator, Fellowships Coordinators, Grants Coordinators, and other stakeholders to ensure accurate and timely appointments and payments. Reconcile records, prepare reports, and approve research unit student and affiliate appointments in Workday. Provide onboarding and guidance regarding university waivers and insurance processes. Process all student awards (including OCR, Analytical Fee, Presidential EPS, and departmental/programmatic awards). Support student job postings and coordinate all summer program appointments (including GeoFORCE, RTX, and REUs). HR Operations Coordination & Backup: Regularly run reports, organize information, and provide communication with key customers and stakeholders regarding HR functions. Provide backup support for broader HR functions, including recruitment, compensation, performance management, timekeeping, and employee separations. Policy Guidance & Staff Support: Advise faculty and staff on HR policies, regulations, and procedures related to recruitment, compensation, and performance management. Maintain organized documentation of processes and updates. Participate in relevant HR training and provide ad hoc support to the HR Director on projects. Visa Coordination: With HR Admin, Serve as liaison to the UT International Office to coordinate appropriate visa processing for international staff and faculty. Process Improvement & Reporting: Document and maintain standard operating procedures to ensure transparency and accessibility of HR processes. Keep stakeholders informed of updates and changes. Develop and track metrics to evaluate process effectiveness. Prepare research summaries, reports, presentations, charts, and other materials as requested. Other duties as assigned. Required Qualifications Bachelor’s degree. Minimum of five (5) years of experience in a human resources function. Demonstrated ability to: Work collaboratively while managing multiple projects independently Exercise sound judgment, discretion, and confidentiality Communicate clearly and professionally in both written and verbal formats Provide high-level customer service in a dynamic environment Interpret and apply local, state, and federal employment laws Manage a high volume of work with accuracy and attention to detail Adapt to change with professionalism and initiative Strong proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel. Relevant education and experience may be substituted as appropriate. Preferred Qualifications More than the required experience. Experience supporting student employee HR processes Experience with Workday, ServiceNow, and Smartsheets Knowledge of UT Austin policies and procedures Prior experience in a university or governmental HR environment Successful candidates will demonstrate strong organizational skills, attention to detail, problem-solving ability, integrity, resourcefulness, self-motivation, and the ability to manage confidential information while meeting deadlines.
