On-Demand Intake Coordinator for Telehealth Therapy Practice (Calls + Lead Follow-Up)

About Us Brave Soul Therapy is a California-based telehealth psychotherapy group practice serving teens and adults. We are a warm, trauma-informed practice seeking a reliable human Intake Coordinator to support new client inquiries. This is a low-volume, on-demand role — not full-time hourly coverage. The Role We are looking for someone who can: Inbound support Answer incoming calls during business hours when they occur Provide warm, professional support to prospective clients Schedule intake appointments in Sessions Health Outbound / lead follow-up Follow up with email and webform inquiries Contact referred clients (phone/text/email as appropriate) Support prospective clients through the scheduling process Help reduce no-shows through clear communication Administrative Route urgent or clinical messages appropriately Document outreach attempts Maintain HIPAA-aware communication practices Estimated volume: ~3–5 inbound calls/day + light outbound follow-up. Compensation Structure We prefer a performance-aligned model: Flat rate per answered call Flat rate per qualified outbound follow-up task Bonus when a new client successfully attends their intake Please include your proposed rates for all three. Also, open to keeping a timecard and submitted hours worked. Note: This is not a full-day hourly position. Required Availability Coverage window: 8:00 AM – 5:00 PM Pacific Time Ability to respond to assigned leads within one business day Must have reliable, quiet work environment Required Experience Medical or mental health intake/scheduling experience strongly preferred Comfortable using EHR systems (Sessions Health is a plus) Excellent, warm phone presence Strong written communication skills for email follow-up English required Spanish and/or Turkish is a major plus Insurance verification experience is a plus Technology Requirements Reliable high-speed internet Quality headset Ability to learn our phone and scheduling systems HIPAA-aware workflows required Apply tot his job Apply tot his job Apply To this Job
