Why This Role Matters

As the Supervisor, Pharmacy Data Entry you will be the cornerstone of our data entry operations, ensuring that every prescription is entered accurately, efficiently, and in full compliance with state and federal regulations. Your leadership will directly influence the speed and quality of order fulfillment, patient satisfaction, and the ability of arenaflex’s pharmacy programs to meet stringent Service Level Agreements (SLAs). Key Responsibilities – Drive Excellence Every Day

  • Lead a team of pharmacy data entry specialists, providing day‑to‑day supervision, coaching, and performance feedback while maintaining a hands‑on approach to complex cases (no more than 5% of your time will be spent on direct entry).
  • Serve as the primary liaison between the data entry team and program managers, translating program needs into staffing plans, workflow adjustments, and training initiatives.
  • Oversee recruitment, onboarding, and competency development for new hires, ensuring every team member meets arenaflex’s high standards for accuracy and speed.
  • Monitor attendance, approve weekly timecards, and manage Paid Time Off (PTO) requests in alignment with departmental budgets and operational demands.
  • Enforce compliance with Kentucky Board of Pharmacy regulations, HIPAA, PDMA, cGMP, and all internal SOPs, conducting routine audits and corrective action plans as needed.
  • Analyze Key Performance Indicators (KPIs) such as entry accuracy, turnaround time, and error rates; use data‑driven insights to recommend and implement continuous‑improvement initiatives.
  • Prepare and present comprehensive reports on team performance, volume trends, and SLA adherence to senior leadership.
  • Collaborate with other supervisors and cross‑functional leaders to support Custom Pharmacy Solutions, driving customer satisfaction and revenue growth.
  • Develop and update standard operating procedures, training materials, and best‑practice guides to keep the team aligned with evolving industry standards.
  • Respond to escalated inquiries from pharmacists, clinicians, or patients, ensuring timely resolution while safeguarding patient confidentiality.
  • Foster a customer‑centric culture, championing high‑quality service to patients, physicians, and internal stakeholders.
  • Identify operational bottlenecks, propose technology enhancements, and lead pilot projects that streamline data entry workflows.
  • Maintain an open line of communication with management, providing regular updates on metrics, staffing needs, and emerging challenges.

Minimum Qualifications – What You Bring to the Table

  • Bachelor’s degree in Health Administration, Business, Life Sciences, or a related field; or an equivalent combination of education and experience.
  • Three (3) or more years of experience in pharmacy operations, managed care, Medicaid/Medicare programs, pharmaceutical manufacturing, insurance, or a comparable health‑care environment.
  • At least two (2) years of supervisory experience, preferably in a call‑center or high‑volume service setting, with a proven track record of meeting quality and productivity standards.
  • Current Kentucky Board of Pharmacy registration as a licensed pharmacy technician in good standing.
  • Commitment to complete any required “technician in training” certification with the Indiana Board of Pharmacy within one year of hire, if not already licensed.
  • Familiarity with medical terminology, including sig codes, Roman numerals, and both generic and brand medication names.
  • Working knowledge of HIPAA, PDMA, and cGMP compliance requirements.

Preferred Qualifications – The Extra Edge

  • National Pharmacy Technician Certification Board (PTCB) certification or another recognized credential.
  • Experience navigating insurance reimbursement processes, claim adjudication, and drug formulary management.
  • Demonstrated expertise with pharmacy management systems, electronic health record (EHR) platforms, and data‑entry automation tools.
  • Advanced Microsoft Office skills, especially Excel for data analysis and reporting.
  • Proven ability to lead process‑improvement projects using methodologies such as Lean, Six Sigma, or Kaizen.
