Position Overview
We are currently seeking a talented and driven Accounts Payable Specialist to join our finance team at arenaflex. This is a full-time position offering competitive compensation at $24 per hour, with the flexibility to work in our Austin, Texas office. Key Responsibilities
As an Accounts Payable Specialist at arenaflex, you will play a vital role in maintaining our financial operations and ensuring smooth relationships with our vendors. Your primary responsibilities will include:
- Invoice Processing and Data Entry: Enter merchant invoices accurately and timely into our SAP system, ensuring all information is captured correctly and matches supporting documentation. This is a critical function that directly impacts our financial reporting accuracy and vendor relationships.
- Email Management and Vendor Communication: Monitor the AP email inbox daily to download incoming vendor invoices and respond promptly to vendor inquiries. You will serve as a primary point of contact for external vendors, addressing payment and invoicing questions with professionalism and efficiency.
- Financial Report Review: Conduct bi-weekly reviews of SAP reports including GRIR (Goods Receipt Invoice Receipt) and MRBR (Matched but Not Billed Report) to ensure invoices are being processed in a timely and accurate manner. Identify and resolve discrepancies to maintain clean aging reports.
- Tax Reporting Preparation: Prepare 1099 reporting on a regular basis, ensuring all vendors have the required tax identification and W-9 information on file. Maintain compliance with IRS regulations and internal policies regarding independent contractor payments.
- Vendor Relationship Management: Collaborate with vendors in a timely and efficient manner, building strong professional relationships while ensuring accurate and prompt payment processing. Address any billing issues or discrepancies with a solutions-oriented approach.
- Receipt Entry and Aging Review: Process receipt entry tasks, which comprise approximately 60% of the role, and conduct regular reviews of receipt aging to identify and address any outstanding items. Ensure all receipts are properly matched and coded.
- General Ledger Coding: Ensure accurate general ledger coding for all transactions, working closely with the general accounting team to maintain proper chart of accounts integrity.
- Purchase Order Matching: Ensure accurate matching of purchase orders to invoices, verifying quantities, prices, and terms align correctly. Investigate and resolve any mismatches promptly.
- Special Projects: Handle special projects and assignments as needed, comprising approximately 10% of the role. This may include process improvement initiatives, system upgrades, or ad-hoc reporting requests.
- Cross-functional Collaboration: Work closely with the Accounts Payable Manager, AP Trained professionals, Senior Bookkeepers, Controller, and Assistant Controller. Collaborate with managers across all arenaflex departments to follow up on invoicing information and purchase order requests.
- IT Collaboration: Partner with the IT team to ensure smooth execution of all AP programs and systems, participating in testing and implementation of system enhancements.
Qualifications and Skills Required
To succeed in this role at arenaflex, candidates must possess the following qualifications and demonstrate the following skills:
Education and Experience
- Education: Bachelor's degree required, preferably in Accounting, Finance, or a related business discipline. Candidates with equivalent experience combined with relevant coursework will also be considered.
- Experience: Minimum of 0-2 years of relevant work experience in accounts payable or a similar financial role. Experience in wholesale distribution is highly preferred but not required.
- Technical Skills: Strong proficiency in Microsoft Office applications, particularly Excel. Experience with SAP or similar ERP systems is preferred but not required. Candidates should demonstrate the ability to develop spreadsheets for tracking vendor activity and creating informative reports.
