Project Coordinator & Administrative Assistant
About the position
NSC is seeking a highly organized and proactive Project Coordinator & Administrative Assistant to support internal initiatives and the Executive Team. This hybrid role combines project coordination, administrative support, and cross-functional communication to help keep the organization running smoothly. The ideal candidate excels at managing details, following up on deliverables, and ensuring projects and daily operations stay on track in a fast-paced environment.
Responsibilities
• Coordinate and support internal projects in partnership with the Sr. Project Manager and Executive Assistant.
• Track project timelines, deliverables, and action items to ensure progress and accountability.
• Prepare meeting agendas, capture detailed notes, and follow up on next steps.
• Create and maintain project documentation, reports, and presentations.
• Support scheduling, calendar management, and travel coordination for the Executive Team.
• Assist with planning and executing meetings, events, and internal communications.
• Maintain accurate records, files, and shared resources.
• Communicate effectively with internal and external stakeholders to support team initiatives.
• Help standardize processes, templates, and documentation across projects.
• Provide general administrative support, including drafting correspondence and preparing materials.
• Offer flexible support outside of standard hours when business needs require it.
Requirements
• Proven experience as a project coordinator, administrative assistant, or in a similar role.
• Strong organizational and time-management skills with the ability to juggle multiple priorities.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
• Detail-oriented and proactive with a solutions-focused mindset.
• Ability to work independently in a hybrid or remote environment while staying highly responsive.
• Flexibility to travel occasionally for meetings or events.
Nice-to-haves
• Experience using project management or collaboration tools (e.g., Monday.com, SharePoint)
• Event planning experience is a plus.
